Establishes administrative/clerical procedures Reinvestment Project and DBHDS State facilities. Facilitates and monitors workflow related to correspondence and the processing of documents.
Establishes and maintains logs and records transactions. Reviews expenditures for accuracy and conformance with established guideline/standards; researches concerns and reports discrepancies to supervisor.
Prepares payment vouchers and processes Invoices for payment.
Order, monitors and restocks office supplies.
Prepares monthly breakdown of expenditures by funding category and budget spreadsheet.
Assists staff in problem solving issues with office equipment, including computer, software, printers, etc.
Coordinates maintenance work orders for staff as needed.
Organizes and maintains a filing system in order to provide ready access to information for the Reinvestment Project and DBHDS State facilities.
Ensures all Reinvestment Project and DBHDS State facilities data is categorized and disseminated to all parties as needed.
Ensures daily census is up to date and accurate for Case Managers.
Receives, sorts, stamps and distributes mail and other documents.
Serves as receptionist by greeting clients/visitors and receives and handles telephone and walk-in inquirers from the public in the absence of the receptionist.
Composes and sends correspondence, form letters and reports on general matters.
Distributes reports, facsimiles and other correspondence necessary to ensure the proper functioning of the Reinvestment Project and DBHDS State facilities
