Job Description

Summary

This job involves providing everyday administrative help to the Forest Service's fire and aviation teams, including managing files, handling budgets, and supporting procurement needs.

It supports fire organization operations, property tracking, and database work for fire and fuels management.

A good fit would be someone organized with office experience, comfortable with computers, and interested in supporting wildfire efforts in a government setting.

Key Requirements

  • One year of specialized experience equivalent to GS-04 (for GS-05) or GS-05 (for GS-06) in federal service, such as greeting visitors, maintaining records, or using word processing software
  • For GS-05 alternative: Bachelor's degree or 4 years of education above high school in business, secretarial, or technical fields
  • For GS-06 alternative: One full year of graduate-level coursework (18 semester hours) related to the position, like business management
  • Combinations of post-high school education and specialized experience acceptable for GS-05
  • Ability to process requisitions, reconcile purchases, and maintain files per federal regulations

Full Job Description

This position is located on a Region 3, Region 5, or Region 6 Forest Service unit and serves as the Fire and Aviation Administrative Support Assistant.

This position provides administrative support for the fire organization, property and procurement management, database management for both fire and fuels management, and budget services.

Specialized Experience Requirement: GS-05: Applicants must have one year of specialized experience equivalent to at least the GS-04 grade level in the Federal service.

Specialized experience is defined as one or more of the following: Greeting visitors and responding to phone and written inquiries personally or referring to other staff as appropriate; and/or Maintaining written records and files in electronic and/or hardcopy filing systems; and/or Using word processing software and printing equipment to create, copy, edit, store, retrieve, and print standardized documents ensuring correct grammar, spelling, punctuation, and format.

OR A bachelor's degree or 4 years of successfully completed education above high school.

The education must have been obtained in an accredited business, secretarial or technical school, junior college, college, or university.

OR Combinations of successfully completed post-high school education (in excess of the first 60 semester hours) and specialized experience.

GS-06: Applicants must have one year of specialized experience equivalent to at least the GS-05 grade level in the Federal service.

Specialized experience is defined as two or more of the following: Providing support and assistance processing a wide variety of requisitions; and/or Reconciling purchases and maintained files in accordance with Federal regulations and agency directives; and/or Processing incoming and outgoing mail; and/or Establishing and maintaining the unit's files, accountable property inventories, records, etc.

(hardcopy and/or electronic format); and/or Using automated software to produce reports, correspondence and other written documents in draft form.

OR One full year (18 semester hours) of successfully completed graduate level coursework that is directly related to the work of the position.

For example, Business Management, Accounting, Business Marketing, Public Administration, or another closely related field. The education must have been obtained in an accredited college or university.

OR An appropriate combination of graduate level education that is directly related to the position and specialized experience.

GS-07: Applicants must have one year of specialized experience equivalent to at least the GS-06 grade level in the Federal service.

Specialized experience is defined as two or more of the following: Carrying out new systems or administrative processes to meet unit needs; and/or Receiving and reviewing all formal ingoing/outgoing correspondence for proper format, grammar, punctuation, etc.; and/or Using automated databases and software to produce reports and record information; and/or Establishing and maintaining manual and electronic records and filing systems; and/or Producing written documentation, reports, memos, etc., in final format.

OR One full year (18 semester hours) of successfully completed graduate level coursework that is directly related to the work of the position.

For example, Business Management, Accounting, Business Marketing, Public Administration, or another closely related field. The education must have been obtained in an accredited college or university.

OR An appropriate combination of graduate level education that is directly related to the position and specialized experience.

  • Duties listed are at the full performance GS-07 grade level.
  • Provides administrative support in the specialized area or program the unit and or staff supports.
  • Maintains oversight of administrative and personnel actions as directed by the supervisor.
  • Tracks personnel requests, updates to organizational charts, phone lists, emergency contact information, and travel voucher input for employees.
  • Provides budget assistance including fleet tracking and mileage input, cell phone coordination, and credit card assistance for unit employees.
  • Issues burn permits and maintains records of burn and campfire permits.
  • Maintains red card printouts and folders, year-end reporting, and pack test coordination.
  • Tracks qualification and certification training using the appropriate database.
  • Utilizes computer applications and technology to produce a wide variety of documents such as correspondence, reports, and spreadsheets.
  • Sets up devices necessary to conduct electronic/virtual meetings.
