Summary

This job is for an administrative assistant in the U.S.

Army Corps of Engineers' Hydroelectric Design Center in Portland, Oregon, where you'll handle everyday office tasks like managing paperwork, scheduling, tracking employee training and travel, and keeping records organized.

About the Position: The position is located in the Hydroelectric Design Center.

You will perform a variety of administrative and clerical duties in support of personnel management, preparation and control of correspondence , training, purchasing, records management, property management, contracting, card holder processing and administration, and travel and time and attendance within the Hydroelectric Design Center.

Minimum Qualifications GS-06: Specialized Experience: One year of specialized experience which includes 1) Entering payroll data into an automated system; 2) Preparing travel requests and/or reimbursement or similar type payment vouchers and billing invoices; 3) Inputting, tracking or gathering data/information from various automated and non-automated systems; 4) Maintaining and tracking office property inventory, and/or 5) Reviewing business correspondence for proper formatting, spelling, and grammar.

This definition of specialized experience is typical of work performed at the next lower grade/level position in the federal service (GS-5).

Minimum Qualifications GS-07: Specialized Experience: One year of specialized experience which includes 1) Maintaining an executive calendar; 2) Coordinating and tracking training for an organizational unit; 2) Tracking and monitoring personnel actions to ensure timely submission and completion; 3) Preparing travel orders & travel vouchers 4) Preparing purchasing and budget documentation; and/or 5) Developing business correspondence in draft and final form.

This definition of specialized experience is typical of work performed at the next lower grade/level position in the federal service (GS-6).

Minimum Qualifications GS-08: Specialized Experience: One year of specialized experience which includes 1) Providing guidance to and advising organizational personnel on administrative matters such as travel, training, correspondence, timekeeping, employee benefits, property and supplies, and /or records management; 2) Training office personnel on the purchasing of supplies or services for an office using an authorized business purchase credit card; 3) Preparing various administrative reports such as manpower, timekeeping, budget, travel, etc.; and 4) Providing training and guidance to personnel regarding standard organizational procedures.

This definition of specialized experience is typical of work performed at the next lower grade/level position in the federal service (GS-7).

Major Duties:

  • Providing clerical and administrative support to office staff, the Administrative Officer, and other personnel within the division.
  • Screening incoming visitors and telephone calls, providing answers to inquiries and referring questions/issues to appropriate persons.
  • Submitting and preparing payroll and travel arrangements, including processing travel orders and vouchers.
  • Performing record keeping and data entry.
  • Prepare and edit correspondence, forms, plans, reports and other documents from rough drafts or oral instruction ensuring correct grammar, formatting, abbreviations, spelling and punctuation.
  • Maintaining property accountability reports, spreadsheets, and inventories.
  • Tracking various administrative related deadlines and tasks for an office utilizing automated computer systems.
  • Serves as a clerical point of contact on matters that include but are not limited to time, travel, appointments, pay issues, on/off boarding employees, etc.
  • Coordinating the purchase of office supplies and assisting with basic office procurement duties.
  • Providing support on training matters involving requests for training, funding, course space availability, and training requirements.
