We are seeking an Administrative Specialist Ill who is energetic and hardworking to join our team.

This position is responsible for providing customer service to the public and administrative support to office staff.

We are seeking a team­oriented individual who is customer-focused, innovative, adaptable and self-motivated.

This recruitment is to fill a Term-Limited Temporary position that is anticipated to end in two years (24 months) after the start date. If filled by a King County employee who has passed their initial probation, the TLT will be a Special Duty Assignment.

WORK SCHEDULE/CONDITIONS: This is a Special Duty Assignment (SDA) or Term-Limited Temporary (TLT) position anticipated to end two years (24 months) after the start date, but subject to change dependent on operational need.

This position is scheduled to work 40 hours per week, Monday - Friday, 8 am - 5 pm.

This position meets the provisions of the Fair Labor Standards Act and is overtime eligible with supervisory pre-approval. This position is represented by Protec17.


MISSION CRITICAL POSITION STATUS: This position has been designated Mission Critical.

Unless otherwise directed by the County Executive, department director or agency head, all employees, regardless of designation, are expected to report to work or request leave during an emergency or inclement weather.

TELEWORKING REQUIREMENT: DCHS works in a hybrid model, with days in the office as well as telecommuting. The ratio of remote to onsite work will be dependent on business needs and is subject to change. The primary onsite location is the Chinook Building at 401 Fifth Avenue, Seattle, WA 98104.


Employees must reside in Washington state and within a reasonable distance to their King County worksite to respond to workplace reporting requirements.


King County has a robust collection of tools and resources to support working remotely.

Employees will be provided with a County-issued laptop and must maintain a home workspace with an internet connection where they can reliably perform work and remain available and responsive during scheduled work hours.

Requirements

  • Create a welcoming environment, both virtually and in person, to people calling or visiting the Department and connect them to the relevant resources.
  • Lead the daily work of the Crisis and Commitment Services (CCS) administrative staff, including monitoring the quantity and quality of work, ensuring deadlines are met, and arranging for backup coverage when staff are absent.

    Additionally, provide regular feedback to the supervisor on staff performance.

  • Learn the tasks of the CCS Court Desk function to make recommendations (and facilitate implementation) of process improvements, in addition to serving as a backup for this function, when needed.
  • Serve as a liaison between management, outreach staff, and administrative staff. Resolve issues at the lowest level possible, while using judgment of when upper management needs involvement.
  • Maintain and prepare information for CCS audit compliance.
  • Assist with managing CCS vehicles for routine maintenance for the Designated Crisis Responders.
  • Serve as a Purchase Card holder, place orders, process, and reconcile transactions in Oracle.
  • Ability to prioritize workload, work under pressure with tight timelines and changing priorities, and simultaneously work on multiple assignments.
  • Handle routine clerical responsibilities, including but not limited to ordering supplies, distributing and processing mail, copying documents, scanning, faxing and distributing incoming faxes, and identifying priority/time-sensitive matters.
  • Assist with processing employee expense reimbursements and reconciling purchase card, records management, and travel card expenditures.
  • Operate and troubleshoot issues with technology (e.g., copy machines, laptops, projectors, etc.).
  • Update website pages using Sitecore.
  • Perform other related duties as assigned.

Qualifications

  • Familiarity with practices related to Crisis and Commitment Services
  • Experience using Oracle I-Expense or other similar procurement tools
  • Two years of recent full-time general office experience providing administrative support.
  • Excellent customer service and public relations skills in a diverse work environment.
  • Experience communicating effectively, both orally and in writing.
  • Advanced experience using the Microsoft Office Suite, including Teams, Outlook, Excel, PowerPoint, Publisher, OneDrive, and SharePoint.
  • Strong writing skills, including proper usage of grammar, spelling, and punctuation.
  • Ability to work and make decisions in a team environment, be an effective team member, help co-workers and ask for help appropriately, work with the schedules of other staff, be cooperative and able to compromise and resolve issues with minimal direction, be flexible and work professionally with all levels of staff.
  • Ability to prioritize workload, work under pressure with tight timelines and changing priorities, and simultaneously work on multiple assignments.
  • Experience working in environments requiring & maintaining confidentiality.
  • Demonstrated punctuality and dependability in daily attendance
  • Initiative and accountability skills for meeting deadlines, work product or service
  • Must excel in fast-paced environments.
  • Strong attention to detail is essential.
  • Requires robust technical skills.
  • The ability to quickly learn new software and programs is crucial.


Desired Experience, Qualifications, Knowledge, Skills


  • Knowledge of Sitecore or other similar DXP/CMS software such as Adobe Experience Manager, Optimizely, Oracle CX, ContentStack, or Joomla.
