The Seattle Police Department is seeking an Administrative Specialist II-BU to work in the General Investigations Unit at the East Precinct. The General Investigations Unit (GIU) requires a large amount of customer/victim communication via email, mail, and over the telephone. This work distinctly entails the skill to track hundreds of pieces of information that span several years from the time of initial reporting. This position will support other admins within the unit, in their work to maintain special projects that are requested by supervisors, as well as supporting those supervisors directly. This position will provide a full range of confidential, administrative clerical support to the Sergeant and Detectives of the Unit.
Requirements
• Extensive phone contact with the general public, victims, suspects, and other law enforcement and social service agencies.
• Answer incoming phone calls, maintain a voicemail log for the unit, and ensure those who need assistance from other units get directed accurately.
• Receive and disseminate emails that come into the unit for a variety of reasons and ensure those who need assistance elsewhere get directed to the correct destination.
• Identify high priority correspondence or potentially sensitive matters and notify the appropriate admin or supervisor in a timely manner.
• Monitor and scrutinize incoming tips from Crime Stoppers, with the ability to navigate their website/software and disseminate tips to the appropriate detectives and/or units for review.
• Assisting other Admins, Supervisors and/or Detectives with various administrative support duties.
• Review the King County Prosecutor Filing log daily, completing the necessary series of tasks to ensure the case file is up to date and notify the GIU sergeant of the update in the case status.
• Responsible for documentation and distribution of record keeping systems and records retention data.
• Responsible for completion of time sheets, payroll, track overtime, and maintain related records
• Prepare purchase order requests for office supplies.
• Process and distribute in-coming/out-going mail.
• Ability to operate and troubleshoot office equipment such as copiers, printers, and fax machines.
• Perform other clerical duties as assigned.
Qualifications
REQUIRED QUALIFICATIONS:
Requires two years of office clerical support experience (or a combination of education, training and/or experience which provides evidence of the ability to perform work of the class).
DESIRED QUALIFCATIONS:
• Excellent oral and written communication skills.
• Self-Starter, ability to work independently and exercise good judgment.
• Demonstrated ability to multi-task and adjust priorities on short notice.
• Experience working with confidential information.
• Demonstrated experience working in a dead-line driven environment.
• Proficient in Microsoft Outlook, Word, Excel.
POSITION REQUIREMENTS:
Must pass a background investigation.

The full salary range for this position is $36.89 - $41.31 per hour.
New employees begin at Step 1 of the pay progression, which is $36.89 hourly. Current City employees’ starting rate of pay will be based on Personnel Rules regarding promotions. This is a full-time (1.0 FTE) regular position with full benefits. This is a Civil Service position eligible for overtime.
