Summary

Full Job Description

The Administrative Services Officer 2 - Ebid/Surplus Property position performs professional and administrative duties involved in supervising, planning, and organizing activities of the Department of General Services, eBid / Surplus Property Division

The men and women in Metro’s General Services Department are there to make sure the rest of government works.

From ensuring that our city’s vehicles run safely and smoothly, to keeping city buildings up to par to providing printing services and more, General Services is the support that allows other Metro departments to focus and achieve their missions.


Requirements

  • Coordinates, assists with, and performs financial reconciliation with departments and customer-based functions that require detailed knowledge of the eBid user and administration system.
  • Prepares various narrative, statistical, and financial reports while evaluating cost/effectiveness of possible changes to user/admin systems.
  • Prepares assets for sale by testing, transporting, taking photos, light cleaning, and making note of conditions.
  • Ensures the accuracy and integrity of data within the eBid system and implement data quality checks and validation procedures.
  • Resolves or clarifies discrepancies in information submitted to or from departments.
  • Provides customer service to departments as well as outside vendors doing business with Metropolitan Government including issues and customer complaints and assists in resolution of those issues\complaints relating to eBid.
  • Supervises employees to include assigning tasks, performance evaluations, and time management, etc.
  • Assists with preparing eBid Monthly Sales Reports.
  • Prepares documents, reports, and other materials as requested.
  • Assists with or carries out special projects as needed.
  • May prepare requisitions and approve purchase orders and invoices.
  • May coordinate the work of and train eBid support staff.
  • Coordinates and assist with offsite pickups at the Police Property Room.
  • Coordinates and participate in walkthroughs for departmental moves and special projects.
  • Assists with preparing and processing bank deposits as needed.

Qualifications

EDUCATION AND EXPERIENCE
Bachelor's Degree from an accredited college or university and two (2) years of professional experience in an administrative, financial, technical, or related field specific to online auctions and surplus property.

*Additional experience may be considered in lieu of education


LICENSE REQUIRED: Valid Drivers License

Note: Per Metro Ordinance No. SO94-1078. All employees of the Metropolitan Government shall be residents of the State of Tennessee or become residents of the state within six (6) months of employment as a prerequisite to employment with the Metropolitan Government.
