As the Administrative Secretary to the Associate Director of the Management Services Division, you will be at the center of activity helping ensure the division runs with precision, efficiency, and confidence.


In this pivotal role, you will provide vital administrative and secretarial support to executive, managerial, and professional staff.

POSITION DETAILS


Job: 2026-28

Status: Regular, Part-Time (20 hours per week)

Location: Olympia, Washington

Salary: Range 48: $24.83 - $32.56 per hour (DOQ)

WASHINGTON STATE RESIDENCY AND TELEWORK INFORMATION


AOC requires employees to reside in Washington State. Any exceptions must be approved. If you are invited to interview and currently reside outside of Washington State, seek more information about residency requirements from the AOC hiring manager for this recruitment.


This position requires you to work onsite all scheduled workdays.

Requirements


Some of the duties you will perform are:

  • Drafts, formats, edits, and finalizes correspondence, reports, newsletters, spreadsheets, and presentations in alignment with agency standards.
  • Responds to telephone and in-person inquiries; screens calls and visitors and provides information on departmental procedures and services.
  • Manages mail, messages, records distribution, office supplies, and inventory, including ordering and tracking materials.
  • Coordinates meetings and conferences, including scheduling, preparing agendas and materials, notifying attendees, and drafting meeting minutes.
  • Develops, maintains, and improves filing, indexing, and records management systems.
  • Supports recruitment activities by coordinating interviews, communicating with candidates, arranging onboarding tasks, and assisting with technology, training, and equipment requests.
  • Performs other duties as assigned.

Qualifications


  • Associate of Arts degree in from an accredited college or business school


AND

  • Four (4) years of administrative experience in a professional work environment.
  • Advanced skills using office suite software tools.


Relevant work experience may substitute for education. A combination of education & experience demonstrating a working knowledge of the duties & responsibilities of Administrative Secretary may be considered in meeting the qualifications.


THE IDEAL APPLICANT WILL ALSO HAVE SOME OR ALL OF THE FOLLOWING EXPERIENCE, EDUCATION, KNOWLEDGE, SKILLS, AND ABILITIES


  • Proficient in utilizing Microsoft 365 products, including Teams, Outlook, Word, OneNote, PowerPoint, and others, with expertise appropriate to the responsibilities of the role.
  • Advanced skills in using office software.
  • Demonstrates strong written and verbal communication skills, using proper grammar, spelling, and professional standards.
  • Delivers accurate, detail-oriented work while maintaining confidentiality and meeting customer expectations.
  • Learns and adapts to new computer applications; understands website navigation, searching, and content-update functions.
  • Manages time effectively, meets deadlines, and handles multiple tasks and projects simultaneously.
  • Analyzes problems, develops recommendations or options, and keeps senior staff informed of progress and issues.
  • Maintains professionalism in interactions with clients, staff, and management, ensuring positive and effective working relationships.
