Full Job Description

Under the supervision of the Vice President for Student Services (VPSS), plans, coordinates, and performs administrative, operational, and business support activities that advance the mission of the College. Provides comprehensive administrative coordination for the Student Services Division and ensures the efficient operation of divisional functions.
Job Functions of the Administrative Coordinator to the Vice President for Student Services

Serves as the primary point of contact for the VPSS and coordinates contact for the Student Services Division.

Aids the VPSS by maintaining schedules, managing appointments, processing incoming and outgoing calls, and arranging and supporting meetings with both internal and external stakeholders.

Creates, stores, and disseminates data and reports as directed.

Serves as the point of entry for Student Services procurement needs, report requests, and the integration of new software while supporting its continued use.

Assists with the onboarding of new employees. Ensures documents and records required for licensure, SACSCOC, the SCTCS, and other entities are properly maintained.

Updates and edits the College's Student Services Policies and Procedures Manuals on an as needed basis.

Works closely with Departments across the College to ensure that all pertinent Recruitment, Persistence, Completion, and Placement Reports are accurate and timely.

Acts as a checks and balances officer of all enrollment data. Creates enrollment trend reports and maintains data related to Student Services programming for both new and existing students.

Ensures that all departmental reports are compiled into comprehensive VPSS reports Assists in the preparation of enrollment analyses and predictions and the evaluation of enrollment efforts through both quantitative and qualitative means.

Gathers and summarizes Student Services information to be presented at Area Commission Board Meetings.

Maintains and updates the College's Student Services Handbook. Ensures that all materials, publications, reports etc.

authored by the Student Services Division are accurate and have gained appropriate approvals, including from the VPSS, prior to release.

Facilitates proper and timely reporting on all divisional and departmental grants and other initiatives.

Responsible for scheduling regular meetings with divisional partners from K-12, industry, local and state governments, community organizations, and others whose reach can impact enrollment, student access and success, and opportunities for students following credential award.

Maintains records related to divisional and departmental budget and completes necessary reconciliation. Completes paperwork related to temporary employment as needed.

Prepares and maintains specialized documents and reports in Excel, Word, Access, PDF, etc. Prepares and maintains grant related documents.

Assists with data gathering for grant-writing purposes, and departmental reports.

    State Minimum Requirements: A high school diploma and relevant experience in business management, public administration, or administrative services or a bachelor's degree may be substituted for the required work experience. Must have a valid driver's license. NETC Preferred Requirements: A bachelor's degree in a related field plus two (2) years of relevant experience in a business environment.

    Qualifications

    The ability to become knowledgeable regarding NETC policies, procedures, rules, regulations and program services. Knowledge of office practices, procedures and equipment. Ability to coordinate diverse administrative functions. Must be able to work in a fast paced environment with a demonstrated ability to multi-task. Ability to establish priorities and meet deadlines. Ability to establish and maintain effective working relationships. Ability to communicate effectively and present information in one-on-one and small group situations to students, guests, and employees of the College. Must demonstrate a high level of interpersonal skills to handle sensitive and confidential situations. Responsible for the planning, coordinating and performance of administrative duties including managing budgets and supporting service activities.

    Additional Information

    Must be able to perform duties with minimal supervision. Must be able to work flexible hours at times as required by supervisor. While performing the duties of this position, the employee is regularly required to sit, stand, walk, and talk or hear. The employee is frequently required to use hands to finger, handle, or feel. The employee must occasionally lift and/or move up to 25 pounds.
