Job Purpose:

SC Department of Commerce is seeking an experienced and knowledgeable professional to be the Administrative Coordinator of the Global Business Development Division.

This position is responsible for the execution of diverse administrative and technical support, as well as providing administrative support for all staff members including assistance with foreign offices.

Successful candidates will demonstrate experience coordinating domestic and international travel, managing complex scheduling across multiple calendars, administering Customer Relationship Management (CRM) systems, and supporting daily office operations.

Job Responsibilities:

  • Complete travel forms, arrange domestic and international travel, and manage staff registrations for conferences, training sessions, and events. Prepare for non-prospect events and Lunch & Learn sessions, include the oversight of logistics, catering, name tags, and materials.
  • Coordinate administration of CRM records and documentation, including data entry, updates, and data quality support. Generate specialized and standard reports and maintain specialized records as needed.
  • Monitor budgets, manage procurement card transactions, reconcile expenses, and prepare complex expense reports for domestic and international travel, including currency conversions.

    Maintain working knowledge of and ensure compliance with all agency policies and procedures related to procurement, travel, and expense reporting.

  • Oversee daily office operations in support of the Division Director and staff. Assist with project coordination, monitor deadlines, and ensure timely completion of deliverables. Facilitate communication and collaboration across teams and serve as a resource on policies and procedures.
  • Update contact databases and calendars, field phone calls, and greet visitors. Prepare and edit letters, memos, presentations, agendas, and other documents.

    Proofread materials and draft meeting minutes. Implement and maintain organized systems for files, records, and documentation to ensure accuracy and accessibility.

  • Analyze administrative processes to identify areas for improvement. Develop and implement streamlined workflows to enhance efficiency. Research and recommend innovative tools, technologies, and methods to support agency and divisional objectives.
  • Perform additional tasks assigned to support divisional goals and staff engagement activities.

Requirements

A high school diploma and relevant experience in business management, public administration, or administrative services or a bachelor's degree may be substituted for the required work experience.

Valid driver’s license required.

Qualifications

Experience facilitating domestic and international travel arrangements and maintaining and utilizing Customer Relationship Management (CRM) systems.

Intermediate proficiency in Microsoft Office Suite, specifically Excel and PPT.
