Full Job Description

The Administrative Coordinator provides administrative and operational support for the Educational Opportunity Center (EOC), a federally funded TRIO program serving adults pursuing postsecondary education and workforce training.

This role supports daily operations, maintains program records, coordinates outreach logistics, and assists with compliance and reporting to ensure alignment with institutional policies and federal regulations.

Key Responsibilities

Program Operations & Administration

  • Coordinate daily office operations, scheduling, and program logistics
  • Prepare correspondence, reports, and administrative documents
  • Maintain program files and serve as liaison with departments (Finance, HR, Procurement)
  • Support workflow organization and office procedures

Participant Support & Records

  • Maintain confidential participant records and program databases
  • Provide general admissions information and refer participants to advising staff
  • Track participant engagement and program activities

Outreach & Events

  • Support logistics for outreach events, workshops, and recruitment activities
  • Prepare and distribute program materials
  • Maintain records of outreach and event participation

Compliance & Reporting

  • Maintain documentation for federal TRIO reporting and program compliance
  • Assist with Annual Performance Reports (APR) and monitoring activities
  • Ensure records meet federal and institutional requirements

Fiscal Support

  • Coordinate purchasing, requisitions, and office supply inventory
  • Track expenditures and maintain financial documentation for grant activities

Other Duties

  • Support special projects and perform related administrative tasks as assigned

Requirements

This position requires a high school diploma and relevant administrative experience in business, public administration, or related field; bachelor’s degree may substitute for experience.

Qualifications

Knowledge of administrative and office management practices, records management, data tracking, and reporting processes, as well as basic fiscal procedures such as purchasing and budget tracking, and applicable federal program compliance requirements and institutional policies. Demonstrated skills in organization, time management, and prioritization; strong written and verbal communication; proficiency in Microsoft Office and database systems; and the ability to coordinate logistics, events, and administrative workflows with a high level of accuracy and attention to detail. Ability to work independently in a collaborative environment; interpret and apply policies and regulations; maintain confidentiality; analyze and track data to support reporting and decision-making; build effective working relationships; and adapt to changing priorities in a fast-paced setting.
