ADMINISTRATIVE ASSISTANT
The Utah Office for Victims of Crime (UOVC) is seeking an ambitious, technologically savvy, forward-thinking, and detail-oriented individual to fill its Administrative Assistant position.
This position will play an important role in the day-to-day operations at UOVC as it provides administrative support to the director, office management and support to additional staff.
Principal Duties
Provide administrative support to the director and management team of UOVC.
Arrange for meetings with internal staff and external partners.
Attend meetings to produce minutes from notes and recordings.
Event planning (meeting space, food, technology needs and other accommodations).
Make travel arrangements (schedule flights, book hotels, ground transportation, reimbursement, etc).
Perform office manager responsibilities.
Write, draft, or review correspondence, reports, documents, and/or other written materials.
Track and file (original and electronic) official correspondence and communications with the office on a variety of projects and grants.
Receive calls and/or greet visitors, take and relay messages, respond to requests for information.
Manage equipment inventories, supplies and other office needs regarding software, phones, access cards, keys, copiers, and printers, etc.
Ideal Candidate
Highly skilled at scheduling, setting up and managing virtual and in-person meetings with proficiency in the required associated technology.
Proficient use of Microsoft Office products such as Excel and Word. as well as PDF documents.
Experience producing minutes from notes and recordings
Working knowledge of Google email and calendaring software.
Professional and detail oriented with excellent customer service skills.
Ability to prioritize work, manage multiple requests for assistance, and work well as a member of a team.
