Full Job Description

This is a Non-Civil Service position in the Department of Law. The Administrative Assistant performs routine administrative activities involved in preparing, maintaining, and processing legal documents and records pertaining to lawsuits, claims, and related legal matters. Works in-person in a professional office setting full time. Performs other related duties as required.

Requirements

  • Performs administrative duties.
  • Processes the mail and invoices.
  • Saves legal filings in the appropriate file.
  • Calendars meetings and deadlines for attorneys.
  • Sets up and maintains files.
  • Handles complaints and inquiries, both in-person and by telephone.
  • Communicates with attorneys, clients, various court officials, and the public.
  • Plans and schedules meetings and appointments.
  • Uses word processing packages, department software programs, computer databases, and spreadsheets.
  • Assembles data and prepares reports as needed.
  • Types various documents and makes corrections in spelling, punctuation, and grammar.
  • Drafts responses to correspondence.
  • Provides routine administrative assistance to attorneys and staff members.
  • Files and verifies a variety of legal documents.
  • Delivers and retrieves documents from other Metro Departments or legal offices.
  • Takes recycling bins outside for weekly pickup.
  • Assists with maintenance of a legal library and supply room.
  • May review work of other office personnel.

Qualifications

EDUCATION AND EXPERIENCE:
High School Diploma or equivalent and three (3) years of experience in a legal or related field
OR
Two (2) years of college and one (1) year of experience in a legal or related field

LICENSES REQUIRED:
Valid Driver's License
