The Department of Information Technology is currently seeking a detail-oriented and highly organized Administrative Assistant with a strong focus on purchasing and account payable functions.

This position plays a vital role in ensuring the smooth operation of financial and procurement processes within a dynamic County department.

Requirements

This position will:
•Administer credit cards for the department (process credit card payment coding, reconciliation, maintain credit card records, conduct credit card audits, and maintain the credit card inventory)
•Be detail-oriented and exercise sound judgment in selecting and applying established procedures correctly and in determining when to refer problems to a supervisor or supporting departments
•Distributing invoices for staff approval
•Ordering office supplies
•Issuing Work Orders for facility maintenance
•Prepare requisitions, direct payments, and process invoices utilizing Oracle software
•Advise staff with the review and verification of the accuracy of statements of work (SOW), quotes and invoices
•Provide oversite and coordination of various telecommunication and wireless accounts and associated equipment
•Greeting visitors, answering and transferring incoming calls, distributing mail, and other duties as needed.

Qualifications

High School diploma or equivalent; three (3) years of related clerical/administrative work experience with computer automated systems and office applications experience; or equivalent combination of education and experience.

Preferred Qualifications:
  • Previous experience in Information Technology organizations, budgeting, planning, and administration with preferred experience in SharePoint, Teams, ServiceNow software, and Oracle Fusion Finance and Procurement modules
  • FinOps Certification(s), Government Financial Manager (CGFM), Certified Procurement Professional (CPP), and Information Technology Infrastructure Library Foundation certification (ITIL)
  • Local government experience

Additional Information

Must undergo pre-employment criminal, credit, and DMV background checks. Valid driver's license and good driving record are required.
