DESCRIPTION OF DUTIES / ESSENTIAL FUNCTIONS
HPL is seeking a highly motivated, talented, and experienced professional to serve as the Administrative Assistant for the Fleet Inventory and Distribution Services (FIDS) area.

The Houston Public Library (HPL) is a forward-thinking library organization, situated in the nation’s fourth largest city serving a diverse population of 2.2 million people. Houston Public’s libraries are trusted community and cultural centers that serve a highly diverse populace. The person in this position will perform varied professional administrative functions.

Essential duties and functions of the position include but are not limited to the following:
  • Drafts correspondence related to library events, parking, parking applications, supplies, vehicle maintenance, and vehicle reservations.
  • Provides assistance to the FIDS-Manager and Assistant Manager.
  • Assigns parking codes, schedule special projects, and maintain records and calendar.
  • Pick up parking decals and bus passes for staff when needed.
  • Provides coverage in the mail room and supply room when needed.
  • Completes monthly facility checklists for the parking garage and loading dock.
  • Provides excellent internal and external customer service.
  • Attends monthly Safety Committee Meetings.
  • Performs other duties as necessary.

WORKING CONDITIONS
The position is physically comfortable; the individual has discretion about walking, standing, etc. There are no major sources of discomfort, i.e., essentially normal office environment with acceptable lighting, temperature and air conditions. Requires the ability to make coordinated gross motor movements in response to changing external stimuli within moderately demanding tolerances; or the ability to make coordinated eye/hand movements on a patterned response space within low tolerance demands with no real speed requirements.

EDUCATIONAL REQUIREMENTS
Requires a bachelor's degree in Business Administrative, Liberal Arts, or related field.

EXPERIENCE REQUIREMENTS
(1) one year of administrative experience is required.

***Professional administrative experience may be substituted for the above "education" requirement on a year-to-year basis.

Qualifications

  • Demonstrated ability to work independently to complete tasks/projects and manager projects simultaneously.
  • Strong and effective written and verbal communication skills.
  • Proven experience working collaboratively and proven experience achieving results.
  • Strong proficiency in using office applications including Word, Excel, and PowerPoint.
  • Strong organizational and time management skills.
