DESCRIPTION OF DUTIES/ESSENTIAL FUNCTIONS
The Houston Public Library (HPL) is a forward-thinking library organization, situated in the nation’s fourth largest city serving a diverse population of 2.2 million people. HPL is seeking a highly motivated, talented, and experienced professional to serve as the Administrative Assistant for the Curator of Exhibits. The person in this position will perform varied professional administrative functions. Essential duties and functions of the position include but are not limited to the following:
  • Provides assistance to HPL Curator including compiling information and data.
  • Assists with research, planning, and organization of exhibitions.
  • Write, edit, and assist in the production of exhibition-related materials, including gallery guides and extended object labels.
  • Drafts correspondence, loan correspondence with collectors and artists, related programming, maintaining exhibition schedules, budgeting, and special projects.
  • Assists with light preparatory work, installation and de-installation of exhibitions in the Julia Ideson Building, the Gregory Campus, and various neighborhood libraries.
  • Assists with budget preparation and monitoring.
  • Performs other duties as necessary to support the curator.
  • May require occasional Saturdays or evenings for programs, tours, or receptions.

WORKING CONDITIONS
Position requires stooping and bending; lifting of library materials up to 20 pounds. Must be able to move freely throughout the library to file/retrieve library materials. Must be able to effectively communicate orally and in writing.

EDUCATIONAL REQUIREMENTS
Requires a Bachelor's Degree in Business Administration, Liberal Arts, or a related field.

EXPERIENCE REQUIREMENTS
One (1) year of administrative experience is required. Professional administrative experience may be substituted for the above education requirement on a year-for-year basis.

Qualifications

Preference will be given to candidates with experience in an executive administrative capacity to senior-level managers and experience in the following:

  • Demonstrated ability to work independently to complete tasks/projects and manager projects simultaneously.
  • Strong and effective written and verbal communication skills.
  • Proven experience working collaboratively and proven experience achieving results.
  • Strong proficiency in using office applications including Word, Excel, and PowerPoint.
  • Strong organizational and time management skills.
  • Knowledge of Houston and Texas History, African American Studies, and/or Latino or Hispanic Studies a plus.
  • Knowledge of SketchUp, Adobe InDesign, and Adobe Photoshop a plus.
  • A valid Texas driver's license and compliance with the City of Houston's policy on driving (AP 2-2) preferred.
