This job is for an administrative assistant supporting the top leaders at a federal prison staff training academy in Georgia, handling tasks like scheduling meetings, managing correspondence, and coordinating events to keep operations running smoothly.

Corrections professionals who foster a humane and secure environment and ensure public safety by preparing individuals for successful reentry into our communities.

To be considered for the position, you must meet the following qualification requirements.

Education As a general rule, education is not creditable above GS-5 for most positions covered by this standard; however, graduate education may be credited in those few instances where the graduate education is directly related to the work of the position.

OR Experience You must have at least one year of specialized experience equivalent in difficulty and complexity to the next lower grade level.

To be creditable, this experience must have equipped the applicant with the particular qualifications to perform successfully the duties of the position, and must typically be in or related to the position to be filled.

Some examples of this qualifying experience are: GS-08: Experience in various administrative procedures to include organizing and maintaining a workload, ensuring appropriate quantities of office supplies are available for office functions, and managing time and attendance for a department.

Experience maintaining the supervisor's daily schedule of appointments and meetings, ensuring that the supervisor is aware of and prepared for associated issues.

Experience in receiving, screening and routing incoming mail and telephone calls, ascertaining the nature of the request and directing inquiries to appropriate staff.

Experience in preparing correspondence, reports or similar materials. Reviewing outgoing correspondence for proper grammar, spelling, punctuation and format.

Experience working with various programs such as Excel, Adobe, GROUPWISE, and various office equipment.

GS-09: Experience in managing the administrative operations of the office, including enhancing the workflow and office process/operations.

Experience in working with a wide range of administrative procedures and regulations to process requests and actions, forms, reports, and records.

Experience in reviewing and processing incoming correspondence, determining proper action, at times preparing responses before referring to the supervisor.

Reviewing outgoing correspondence and reports prepared by employees in the organization, ensuring proper format, correct grammatical content, and conformance to established procedures.

Experience in utilizing various computer programs to complete complex, technical, or detailed assignments. OR Combination of Education and Experience A combination of education and experience.

Located at the Staff Training Academy, Federal Bureau of Prisons (BOP), Glynco, Georgia.

Serves as the confidential personal assistant to the Director and the Deputy Director of BOP Staff Training Academy.

Participates in the management of staff training bureau-wide by performing administrative duties to assist the Director and the deputy Director in accomplishing the mission of staff training.

Maintains the supervisor's daily schedule of appointments and meetings, ensuring that the supervisor is aware of and prepared for associated issues.

Plan and coordinate conferences and workgroups for BOP staff across the system.

Makes travel arrangements and arranges schedules of visits for temporary duty trips the Director makes away from the Center.

Receives and responds to telephone inquiries from higher organizational levels, institution, other government agencies, and the public concerning the training center activities and administration.

Ensures office procedures meet organization's needs and are consistently understood and followed in subordinate offices.
