Job Title: Administrative Assistant 3 (AA3) - Travel and Purchasing
Location: Olympia, WA - This is a full-time/hybrid optional position with the opportunity to work both remote and in the office as a hybrid employee. Typical work schedule of Mon-Fri, 40 hours per week; Agency operating hours are 8:00 a.m. to 5:00 p.m. A daily schedule will be agreed upon and approved following agency guidelines and business needs. Infrequent in-state travel may be required for in-person meetings, conferences, and events.

The Opportunity:
The primary objective of this position is to provide comprehensive administrative support to the Early Learning Division. This position manages travel arrangements, coordinates staff events, and supports the purchasing of goods and supplies for a large division. The AA3 also provides administrative support tasks requiring critical thinking and independent judgment while working with staff, agency leadership, and stakeholders.

Some of what you will do:
  • Serve as the designated travel coordinator for the Early Learning Division. Coordinate and manage travel arrangements, including lodging, airfare, group transportation, and parking.
  • Create detailed travel itineraries, including confirmations, instructions, and other relevant information.
  • Complete, submit, and maintain pre-authorization forms, conference registrations, and associated materials
  • Coordinate division purchasing by creating. and submitting purchasing requests and orders.
  • Coordinate and maintain effective office procedures and efficient workflows.
  • Manage travel credit cards, coordinate usage, reports, and maintain fiscal reconciliation.
  • Manage and maintain information and administrative documents using appropriate methods and filing systems, with specific tracking approaches.
  • Provide consultation and technical assistance to program specialists, managers, and division leadership on travel, meeting planning and purchasing.
  • Independently perform a wide variety of secretarial and high-level administrative duties in support of multiple division leadership roles and their respective program managers.
  • Attend a variety of meetings, prepare agendas, take notes, prepare materials, track and report on action items.

Required Qualifications:
  • Associates Degree and Three (3) years of administrative experience in a Secretary Senior, Administrative Assistant, or Office Coordinator capacity supporting a mid-level manager, administrator, or executive in a company, agency or environment that requires: adherence to protocols for confidentiality of client and personnel information; demonstrated ability to draft or develop written processes/procedures; and strong organizational and time management skills in a fastpaced,deadline-driven environment and attention to detail.
OR
  • A combination of education and experience totaling Five (5) years in a Secretary Senior, Administrative Assistant or Office Coordinator capacity supporting a mid-level manager, administrator, or executive in a company, agency or environment that requires: adherence to protocols for confidentiality of client and personnel information; demonstrated ability to draft or develop written processes/procedures; and strong organizational and time management skills in a fast-paced, deadlinedriven environment and attention to detail.
AND
  1. The ability to take action to learn and grow.
  2. The ability to take action to meet the needs of others.
