Full Job Description

The Iowa Department of Inspections, Appeals, and Licensing (DIAL) is seeking a highly motivated, solution-oriented, skilled individual to join our Fire Bureau and serve as an Administrative Assistant 1 (AA1) in Des Moines, Iowa.

DIAL is a multifaceted regulatory agency charged with protecting the health, safety, and well-being of Iowans.

The Administrative Assistant 1 position is responsible for monitoring the Bureau’s financial position, maintaining Bureau supplies, equipment, and vehicles, and manages inspector work distribution and our Fire Bureau licensing programs.

What You'll Do

You will be an integral member to the Fire Bureau, providing direct support to the Department’s Health and Safety Division by:

  • Supporting division-wide processes, policies and procedures, in collaboration with our teams.
  • Follow procedures and Iowa Code to review, coordinate, and assess multiple licensing applications across many program areas for licensure approval.
  • Making independent decisions, following guidelines, to coordinate, monitor and manage bureau needs.
  • Recommend new or improved procedures for standardizing, modernizing and simplifying processes that help to improve outcomes and collaboration between staff.
  • Facilitates changes to the licensure processes procedures when legislative or rulemaking changes occur.
  • Support the Flammable Liquids and Fireworks Program.
  • Assist in key functional areas of the Fire Bureau by handling requests for information, maintaining inventory and purchasing, as well as fee processing.
  • Support the inspection and complaint process for the state facilities inspected.

Qualifications

Applicants must meet at least one of the following minimum requirements to qualify for positions in this job classification:
  1. Graduation from an accredited four-year college or university with a bachelor's degree in any field.
  2. A total of four years of education (as described in number one) and/or full-time experience in accounting, secretarial, or office support work collecting, compiling, reporting, examining and/or editing numerical data; coding and qualifying people for benefits, licenses, or other transactions; preparing and keeping budgetary accounts and projections; organizing and implementing office support operations; advising on procedural processes; or other work that provided direct support and exposure to substantive agency programs, where one year of full-time experience is equal to 30 semester hours of education.
  3. Current, continuous experience in the state executive branch that includes experience equal to 12 months of full-time work as a Secretary 2, Clerk Specialist, Public Service Supervisor, Accounting Technician (any level), Purchasing Assistant, or Human Resources Technical Assistant
