The Battle Creek VA Medical Center is recruiting for a Voluntary Service Assistant.
This position is responsible for administrative support, clerical support, donation and fiscal support for volunteer services.
This position reports to the Voluntary Service Officer, within communications and community engagement service.
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 04/20/2026.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement.
For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service.
An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials.
If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement.
In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.
Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
Preferred experience: Customer service skills, administrative skills, computer skills and experience working with volunteers and veteran service organizations.
You may qualify based on your experience and/or education as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization.
Examples of specialized experience would typically include, but are not limited to: Examples of specialized experience would typically include, but are not limited to: Communication skills; ability to recruit, interview, and evaluate prospective volunteers in order for their talents and interests to be appropriately utilized; Knowledge of adapted diversional activities and ability to tactfully handle and solve problems on a continuous basis; General knowledge of personal computer; knowledge of digital cameras; teaching skills.

Major Duties:
The Voluntary Service Assistant is responsible for providing support to the facility's Voluntary Service operations as the first point of contact for potential volunteers, patients, visitors, service organizations, corporate and community leaders, donors, and other internal and external stakeholders.
The incumbent must exhibit a high degree of tact, diplomacy, and courtesy with every interpersonal interaction daily.
The incumbent communicates and coordinates on behalf of the CDCE Voluntary Service Officer with services across the health care system, agency representatives (including VHA, VBA, and NCA), and community officials regarding programs, events, and activities.
The incumbent maintains relationships with members of the local advisory committees, Veterans Service Organizations (VSO), and other local, corporate, or nonprofit entities within the catchment area to foster positive customer service experiences/partnerships.
Voluntary Service Assistant is responsible for routinely engaging the facility's Executive Leadership Team and administrative assistants in the Executive Office to facilitate meetings, correspondence, suspense or congressional responses, or any other administrative actions between the Voluntary Service and leadership teams.
Responsible for clerical functions associated with the Voluntary Service program management which includes, but not limited database development and management, processing and acknowledgment of gifts and donations, ordering of supplies, purchase card management, maintenance of office records and files, distribution of in-house and electronic mail, timekeeping, and travel arrangements.

The incumbent is also responsible for Voluntary Service ADPAC duties.
The incumbent is responsible for receiving, processing, and tracking gifts and donations including accurate entry into the Voluntary Service System or subsequent electronic donation database programs.
The incumbent coordinates acceptance and distribution of gifts-in-kind in accordance with donor intent to maximize benefit to inpatients and members.
Monetary donations are deposited with the Agent Cashier in accordance with policy utilizing temporary receipts, acknowledgements are produced and routed with field service receipts to donors within established timeframes, and all associated General Post Fund (GPF) records are maintained as defined by national, VISN and local guidance.
The incumbent monitors all online donations ensuring appropriate assignment to the GPF as determined by the donor and completes actions to ensure deposits are reflected in the Financial Management System.
The incumbent educates current and prospective donors on the various methods in which contributions may be made including those online. As well as additional duties as assigned.
