DESCRIPTION OF DUTIES / ESSENTIAL FUNCTIONS

  • Assist in the preparation, review, and maintenance of departmental data, records, reports, and operational documents to support planning, performance tracking, and decision making.

  • Conduct routine research, data gathering, and analysis to identify trends, operational needs, workflow efficiency opportunities, and service improvements.

  • Support the department in monitoring operational activities, evaluating workload needs, and preparing summaries or briefing materials for leadership.

  • Participate in the development, update, and maintenance of departmental policies, procedures, and operational guides; ensure information is accurate and accessible to employees.

  • Coordinate with internal service lines and stakeholders to resolve routine inquiries, exchange data, and track status of requests, projects, and workflow items.

  • Assist with preparing basic cost information, resource utilization summaries, and expenditure tracking as part of general department operations—not as the primary function.

  • Compile data for monthly, quarterly, and annual management reports; assist with metrics, charts, tables, and presentations used for planning and performance reviews.

  • Support project teams by tracking tasks, documenting project milestones, scheduling meetings, preparing summaries, and following up on deliverables.

  • Participate in business process reviews and continuous improvement activities; identify opportunities to streamline steps, standardize documents, and improve customer experience.

  • Prepare manuals, guides, and written communications for internal and external audiences, ensuring clarity, accuracy, and consistency in messaging.

  • Provide excellent customer service and assist employees, leadership, and stakeholders with questions, requests, and administrative needs.

  • Demonstrate strong organizational, written, and oral communication skills, the ability to analyze information, summarize findings, and prepare recommendations.

  • Utilize Microsoft Office and SAP (or similar platforms) to manipulate information, maintain files, run basic reports, and support operational tasks.

  • Perform other duties and special assignments as requested to support administrative, programmatic, and operational goals.

WORKING CONDITIONS

This position is physically comfortable; the individual has discretion about walking, standing, etc. There are no major sources of discomfort in a normal office environment.


Requirements

MINIMUM EDUCATIONAL REQUIREMENTS
Requires a Bachelor's degree in Business Administration, Public Administration or a closely related field based on the type of work being performed.

Graduate degrees related to the type of work to be performed may substitute for the experience requirement on a year-for-year basis.
MINIMUM EXPERIENCE REQUIREMENTS
Three years of professional administrative, financial or analytical experience related to the type of work being performed are required.

Qualifications

Preference shall be given to candidates with a valid driver's license and compliance with the City of Houston policy on driving (AP2-2).

**Preference shall be given to eligible veteran applicants provided such persons possess the qualifications necessary for competent discharge of the duties involved in the position applied for, such persons are among the most qualified candidates for the position, and all other factors in accordance with Executive Order 1-6.**
