The Program Coordinator Critical Minerals Strategy and Advancement team supports the role of the Executive Director Critical Minerals Strategy and Advancement, who leads the University’s work in this vital field. This position will be a support in forging national partnerships, positioning Mines to help policy makers, industry, and society close the many gaps in our critical minerals supply chain, increasing Mines’ visibility, and attracting resources to grow the faculty and programs working in this space.

The OpportunityThe Office of the Registrar welcomes applications for the Registrar Advisor at Colorado School of Mines.

Reporting to the Associate Registrar for Advising & Operations, the Registrar Advisor provides student services advising and support to prospective and current students, faculty, staff, and alumni.

The office consists of three functional areas: Records & Registration, Systems, and Transfer & Compliance.

This position works independently to research, plan, coordinate, implement, manage, and communicate all central registrar functions, including student records, registration, and degree processing.

Leveraging broad knowledge of degree requirements, registration policies and procedures, and strong collaborative relationships with advisors, administrators, and faculty, the Registrar Advisor serves as a front-line resource for students navigating their academic programs and for faculty implementing innovative curricula and courses.

The Registrar Advisor works closely with Senior Registrars and fellow Advisors to analyze, develop, and improve procedures that support transparent, effective management of office operations and delivery of high-quality, direct customer service.

The position has broad authority to make procedural decisions regarding applicant verification and may recommend or implement related system or technology changes.

The role independently responds to external agencies, determines when students should be directed back to their academic departments for guidance, and communicates policy-related hardships to campus partners.

Regular communication, training, and advising of Registrar staff, prospective students, current students, faculty, and administrators is expected.

The Registrar Advisor also represents the unit externally as needed. Accurate, timely, diplomatic, and consistent communication with all stakeholders is essential.

The position handles confidential and sensitive information with discretion in accordance with state and federal laws.

Additional responsibilities include independently training faculty and staff on Registrar processes and policies, communicating with students and alumni, collaborating with vendors and peer institutions, and creating and maintaining materials and web content that support the Registrar Advisor role.

Responsibilities

Records and Registration Management (60%)

Work directly with current and prospective Mines students, advisors, and program directors on all manner of enrollment, records, and degree topics.

In this role, position must have broad understanding of institutional and programmatic degree requirements so that she/he can provide timely advice to students and faculty as they navigate the institution’s policies and procedures related to student progress toward degree, graduation, creation of new degree programs, etc.

Student populations include those enrolled in undergraduate and graduate programs located both in residence on campus and online.

Enforce institutional standards while working independently to interpret acceptable variations from policy to appropriately resolve issues as they arise.

Develop and implement new procedures and systems to effectively serve Mines constituents. Assist students and campus advisors with technology questions related to Registrar services.

  • Support and assist students, faculty, advisors, and administrators with activities related to grading, registration, and student records management.

  • Compliance Management (20%)

    Primary management of student records, in accordance with FERPA, including but not limited to, transcript requests, verifications of enrollment, receipt of grades, address data entry, and ongoing academic record maintenance.

    Determine the processes and coordinate the records management for all active and former student files.

    Track, audit, and communicate degree requirements and progress toward degree for all students.

    Review and process degree conferral (including requirement fulfillment, degree processing, and diplomas) and work collaboratively with office staff and Academic Affairs to produce a successful commencement ceremony.

    Customer Service Support (10%)

    • Provide assistance and responses to student, faculty, advisor, and staff phone, email, and in-person requests for information related to Registrar Office functions including, but limited to Registration, Grading, Curriculum Updates, Transcripts and Certifications, Degree Audit Evaluations, and Graduation clearance.

    • Attend regularly scheduled meetings on campus or remotely when available.

    Special Projects and Registrar Office Representation (5%)

    • Lead one-time special projects to support programs and Registrar Advisorinitiatives. Attendmeetings to represent the Office of Registrar with all campus partners.

    Other Duties as Assigned (5%)

    • Other duties as assigned to meet the objectives goals of the program and/or Mines.


    Total Rewards

    Annual salary rate: $57,784 – $61,159

    Qualifications

    Minimum Qualifications:

    • A bachelor's degree from an accredited college/university.

    • Understanding of college admissions, student advising, and systems.

    • Outstanding professional oral and writing communication skills

    • Technical systems experienceand demonstrated ability to use systems to maintain student records and produce reporting records.

    • Ability to process and organize large volume of paperwork relative to students and have solid understanding of academic processes, as well as courses and terms relevant to the institution.

    • Ability to identify and utilize data in decision making; ability to function in a fast-paced environment under the pressure of deadlines with accuracy and attention to detail.


    Preferred Qualifications:

    • Candidates with familiarity and/or prior work experience in an academicinstitutions and familiarity with accreditation agencies and federal regulations that pertain to student records are highly desirable.

    • Experience with Banner, Degree Works, Smart Plan, Insights, and Tableau experience or related student information system.

    • Experience in multiple areas of the registrar functional areas.

    • Experience working with Veterans Benefits, CollegeOpportunity Fund,transcript credit evaluation, graduate programs, International students, etc.
