Full Job Description

This position is within the Medical Administration Service (MAS) Specialty Unit located at the Martinsburg VA Medical Center.

The purpose of the position is to perform a variety of administrative and management support services in the Specialty Unit: Beneficiary Travel, Patient Funds, and Decedents Affairs.

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 02/24/2026.

Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement.

For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service.

An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials.

If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement.

In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.

Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.

You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization.

Examples of specialized experience would typically include, but are not limited to: Skill in applying analytical and evaluative techniques to the identification, consideration, and resolution of issues or problems of procedural or factual nature.

Advanced knowledge and skills in operating computer software, to include the ability to extract information from one document into another, format text, merge documents; track finances, and prepare reports.

Knowledge of administrative concepts, principles, and practice sufficient to perform duties independently.

Screens all calls and visitors, answering most questions and completing most business involving established policy or routine matters without referring to the supervisor.

Maintains a variety of files for administrative and professional activities.

Major Duties:

Duties include but are not limited to: Office Program Planning- 75% Coordinating administrative issues that support healthcare operations and initiative.

The incumbent supports the facility and is responsible for providing input and support concerning planning organization, development, implementation of new technology and administrative matters for MAS.

Independently performs a variety of accounting duties involving the Beneficiary Travel and Patient Funds program.

Will be crossed trained in other positions within the section and will train staff on various computer and software packages to include but not limited to PC-Dell, HP, MAC, and Microsoft Word, Excel, and other software as required.

Must complete annual training to maintain proficiency.

Correspondence Control- 25% Opens and distributes incoming mail and performs a variety of administrative support functions essential to the operational management of MAS.

Receive telephone calls and visitors, must use sound judgement to determine the relative importance of visits and calls referring to the supervisor as applicable.

The incumbent must be able to supply all or most of the information needed by the requester, including answering substantive questions that do not require research or technical knowledge.

Must type letters, memoranda, reports, consents, and special assignments generated by the unit Supervisor. All correspondence must be of superior quality upon admission for signature.

Maintains office files for suspense, correspondence, regulations, reports special projects, meetings, etc.

Incumbent will review all correspondence and other documents for accuracy in grammar, format, spelling, and punctuation for grammatical accuracy; ensuring that the correspondence is in conformance with general policy and factual correctness.

Independently responds to inquires and problems brought to the specific office. The incumbent notifies the appropriate individuals for response and follow-up to ensure deadlines are met.

Serves as the liaison between the services, funeral homes, and other offices. Develops and maintains paper and electronic record systems and tracks all follow ups on actions items.

Coordinates decedent release with next of kins, and funeral homes. Work Schedule: Monday through Friday 8:00am-4:30pm Virtual: This is not a virtual position.
