This position provides administrative information and assistance to the supervisor and staff on the practical and technical aspects of office administration, to include budgeting, data capture, equipment procurement and tracking, and other administrative support services.
This position is located at the Thunderbird VA Clinic. To qualify for this position, applicants must meet all requirements by the closing date of this announcement, .
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement.
For a GS 5 position you must have served 52 weeks at the GS 4. The grade may have been in any occupation, but must have been held in the Federal service.
An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials.
If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement.
In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.
Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience and/or education for a GS 5 as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS 4 in the normal line of progression for the occupation in the organization.
Examples of specialized experience would typically include, but are not limited to: Knowledge of proper grammar, punctuation, spelling and agency guidelines to prepare, edit and place in proper format all correspondence and reports.
Knowledge of VA timekeeping policies and procedures. Skill in communication both oral and written, and the ability to tactfully present ideas. Knowledge of telephone protocol and manners.
Skill in operation of computer to accurately and neatly present product in proper format in final form. OR, Education: Applicants may substitute education for the required experience.
To qualify based on education for this grade level you must have four years above high school in an accredited business, secretarial or technical school, junior college, college or university.
One year of full-time academic study is defined as 30 semester hours, 45 quarter hours, or the equivalent in a college or university, or at least 20 hours of classroom instruction per week for approximately 36 weeks in a business, secretarial, or technical school.
(TRANSCRIPT REQUIRED). OR, Combination: Applicants may also combine education and experience to qualify at this level.
The first 60 semester hours (i.e., beyond the second year) to meet the specialized experience requirement.
One full academic year of study (30 semester hours) beyond the second year is equivalent to 6 months of specialized experience. (TRANSCRIPT REQUIRED).

You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week.
Part-time experience will be credited on the basis of time actually spent in appropriate activities.

Physical Requirements: The work is sedentary. Typically, the employee may sit comfortably to do the work.
However, there may be some walking, stair climbing, bending, stooping, and carrying light weight documents, folders and manuals required.
Hearing and distinct speech are essential due to the extensive use of the telephone as a means of communication to give instruction and receive information.
The incumbent must possess manual dexterity to enter computer information. mental concentration to meet critical deadlines is also required.

Major Duties:
Duties may include: Collect date, review, analyze and develop plan, monitor signed/unsigned clinical notes.
Assists with identification of staffing shortages and deficiencies, assuring efficient allocation of clinical personnel needed to maintain safe unit staffing levels as needed.
Compiles data, produces trends, and makes recommendations based on the data and requirements to assist the Service Chief with VA, national and local regulatory compliance.
Performs work involving the collection, compilation and or tracking of data and statistical information, as well as preparing and developing reports.
Serves as the primary Automated Data Processing Application Coordinator )ADPAC) for the Service. Responsible for purchasing supplies and services using a government purchase card.
Responsible for processing travel and training requests. Provides timekeeper coverage.
Assists with the action plans relating to performance improvement initiatives and performance measures preparation. Work Schedule: Monday - Friday, 7:00 a.m. through 3:30 p.m.
