About the Role:

Under general supervision, the Program Coordinator supports the Bureau of Regional and Laboratory Services by providing essential administrative support.

In this role, you will manage incoming mail and shipments, and ensure accurate documentation, tracking, and records management.

Additionally, you will assist with inventory needs and serve as a key point of contact for delivery vendors and internal staff.

The position will collaborate with the Office of Human Resources (OHR) as needed for personnel or training-related documentation.

Through reliable workflow coordination and organized recordkeeping, the Program Coordinator contributes to the efficient daily operations of the bureau.


Job Duties:
  • Receive, sort, and distribute incoming mail, packages, samples, and shipments for the bureau.
  • Maintain logs and tracking records for all received items and shipments.
  • Serve as a point of contact for delivery vendors, courier services, and internal staff regarding incoming and outgoing and equipment materials.
  • Assist with general administrative tasks such as filing, routing documents, updating spreadsheets, and maintaining organized records.
  • Support inventory tracking of supplies and materials used within the bureau.
  • Provide routine updates to staff regarding administrative or procedural changes related to mail handling and shipment processes.
  • Coordinate with the Office of Human Resources (OHR) as needed for personnel or training-related documentation.
  • Perform other duties as assigned to support daily bureau operations.

  • High school diploma and relevant program experience.


Additional Requirements:

  • Must possess a valid state driver’s license and be able to operate state-owned vehicles.
  • Ability to perform physical handling of materials, including lifting up to 40 pounds. bending, moving, and organizing items as required for operational needs.
  • Ability to provide excellent customer service in a fast-paced environment.
  • Strong communication, organizational, and interpersonal skills.
  • Ability to work effectively in a team-oriented environment and foster positive working relationships with coworkers, industry representatives, and government officials.
  • Ability to successfully complete required technical coursework and pass applicable tests within the probationary or trial period.
  • Demonstrated ability to prioritize tasks and manage time effectively.
  • Ability to enter data accurately and efficiently into data systems.

Qualifications

Preferred Qualifications:

  • Data management skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Familiarity with Agency standard operating procedures (SOPs).
