Summary

Full Job Description

You will serve as an OFFICE AUTOMATION ASSISTANT in the U.S. Naval Hospital of US NMRTC YOKOSUKA JA.

Your resume must demonstrate at least one year of Specialized experience at or equivalent to the GS-04 grade level or pay band in the Federal service or equivalent experience in the private or public sector.

Specialized experience must demonstrate the following: 1) organizing and prioritizing work and simultaneously manage multiple projects and understand medical terminology.

2) Providing office responsibilities (e.g. e-mail, general correspondence, and document and package shipping using services like United States Postal Service).

3) Analyzing data/ information for programs implementation, problems, recognizing significant aspects, reaching objective conclusions and presenting recommendations in a clear, concise manner and preparing data call responses for higher headquarters.

4) Operating word processing equipment, personal computers, and commonly used reproduction machines.

Understanding of desktop computers, software programs, spreadsheets, word processing, and databases (e.g.

text insertions, deletions, tables, technical reports, and other editing functions of a word processing system).

Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. Major Duties:

  • You will be responsible for the administrative and business management including, personnel security control, supplies and equipment management and budgets, staff timesheets and leave documentation, and travel requests and documentation.
  • You will be responsible for maintenance and security of administrative records, directives, and files as requested by the department head.
  • You will maintain subject matter files and records that relate to the work of Industrial Hygiene Department
  • You will manage correspondence supporting technical and administrative activities. Utilize various mail services to check for incoming messages or correspondence and replies/routes, including Fed Ex services for equipment and sample shipping.
  • You will be responsible for maintaining all IHDs training records, including certificate, evaluation, etc. Acts as Coordinator for Safety training every month for Industrial Hygiene Department on monthly safety and hazmat training.
