The Department of Corrections (DOC) is seeking a highly motivated and qualified individual for the position of a Full-Time, Permanent Office Assistant Lead for the Washington State Penitentiary (WSP) located in Walla Walla, Washington.

The Washington State Penitentiary (WSP) is comprised of 4 Close Custody Units, 3 Special Housing Units, 2 Intensive Management Units, 2 Medium Units, 2 Minimum Housing Units and a Hospital. In all, WSP houses approximately 2,000 incarcerated individuals and employs approximately 1,000 staff.

The Washington State Penitentiary is staffed 24-hours a day, 7-days a week.

The Department consists of the Office of the Secretary, Prisons Division, Community Corrections Division, Administrative Services Division, Health Services Division, Communications Department and Risk Management Department. Requirements

The clerical support unit provides support for a variety of units and departments by striving to provide the highest quality products and services to meet the clerical needs of the institution. This position's primary responsibility is to instruct and check the work of lower-level office support staff, plan and organize work and perform a variety of complex clerical projects and assignments. This position will assist the Office Support Supervisor 2.

Duties include but not limited to:

Ensure new staff are properly trained and provide ongoing training to current staffProvide input to supervisors on unit operations and employees’ performanceDraft the unit's monthly schedule of assignments to disburse and task workloads Organize job duties for lower-level staff and coordinate workflowMonitor team performance to ensure the unit meets accepted standards for quality, timeliness, accountability Document and maintain monthly staff meeting minutesRespond to inquiries regarding clerical policies, procedures and services Establish and update templates for lower-level staff Review data for completeness and accuracy and refer questionable data or narrative to originator for clarificationMaintain confidentiality of information that is protected by Department of Corrections polices, Federal or State LawsDevelop and prepare reports related to activities and production of the unit, comparing data from various sources to identify trends, differences, similarities, etc.Submit purchase request for office related supplies Coordinate and facilitate records management, installing filing systems and arranging for file retention and disposition Qualifications Required: High school diploma or G.E.D.Ability to type a minimum of 40 words per minute.Intermediate Word processing and spreadsheet skills.

Minimum of two (2) years of clerical experience.
