Our agency is looking to fill a full-time, non-permanent Office Assistant Lead (OAL) position within the Community Corrections Division. This position works for the Lakewood Field Office located at 110109 South Tacoma Way, Lakewood WA 98499. Although this non-permanent appointment is expected to last about six months, it will not exceed twelve months.

Under general supervision by the Administrative Assistant 3 (AA3), this position trains, leads and mentors an Office Assistant 3 (OA3) while providing a high level of clerical and secretarial support to the Community Corrections Supervisor (CCS), AA3, and several Community Corrections Officers (CCOs).

Requirements

As the designated lead, you will instruct and review the work of the Office Assistant 3 (OA3) while also providing direct complex secretarial services and assistance to the Community Corrections Supervisor (CCS) and Community Corrections Officers (CCOs). Some of your duties may include:
  • Using specialized knowledge, technical skill, and independent judgement to review, enter, and retrieve data from various systems, such as the Offender Management Network Information (OMNI) system, OnBase (document management), SharePoint, Report Wizard, WA Access to Criminal History (WATCH), etc.
  • File management, including file setup and closing and archiving files.
  • General office support and maintaining office supplies and equipment.
  • Providing reception coverage to greet and confer with supervised individuals (S/Is) and the public.
  • Answering a multi-line telephone system.
  • Training and mentoring an OA3.
  • Back-up support duties for the AA3 and other duties as assigned.

Qualifications

Required Qualifications
  • High school diploma or equivalent.
  • Two years of clerical and/or customer service experience that required keyboarding/typing.
The successful candidate should possess the following skills and abilities:
  • Maintain regular and reliable attendance.
  • Must respect and maintain confidentiality.
  • Basic level of proficiency and knowledge in Microsoft Office to include Outlook, Word and Excel.
  • Ability to assist individuals with various criminal backgrounds.
  • Ability to navigate internal databases.
  • Ability to proofread written material, identify and correct errors in sentence structure, grammar, and punctuation.
  • Ability to communicate effectively and clearly to staff, supervise individuals, public and stakeholders.

Salary is based on skills and abilities that apply to the primary functions of the role and/or years of experience and is decided at the time a final offer of employment is made.
