The ideal candidate for the Office Assistant 3 in our Employer Services Unit is motivated by public service and understands the importance of safeguarding programs that support Washington workers and employers.

Requirements


Perform a variety of complex clerical projects and assignments. Tasks include:


  • Discover, organize, prepare, and log statuses on a variety of employer fax/mailed/emailed correspondence for further processing by Employer Services staff


  • Review and process a variety of Paid Family and Medical Leave and WA Cares programs’ forms.


  • Compose and send basic correspondence regarding a variety of Paid Family and Medical Leave and WA Cares programs’ forms (such as Power of Attorney or out of state conditional waivers) to employers, and employer agents


Provide Administrative Support. Tasks include:


  • Monitor faxes and mail for documents and route to the appropriate staff or take necessary action


  • Ensure quality data entry in multiple applications by ensuring all data fields are completed


  • Process correspondence and email documents; address returned mail and remailing requests


Attend all required trainings, meetings and other scheduled activities. Tasks include:


  • Attend required trainings, team meetings, huddles, and all-staff meetings


  • Complete special projects and assignments

Qualifications


  • 3 years equivalent education and/or experience as noted below in the required experience


  • High school diploma or equivalent AND 2 years of clerical experience

The required experience includes:


  • Document Review & Compliance: Skill in reviewing documents for compliance and accuracy


  • Correspondence & Form Development: Ability to compose correspondence and develop forms


  • File System Management: Skill in managing electronic and manual file systems


  • Adaptability & Versatility: Ability to perform various tasks as needed


  • Problem Resolution & Communication: Ability to resolve issues and provide accurate information


  • Advanced Word Processing & Software Utilization: Skill in performing complex word processing tasks and using various software


Special Requirements/Conditions of Employment:


  • Must be able to pass an Unemployment Insurance (UI) and Paid Family Medical and Leave (PFML) claim and fraud check.
