Requirements

The Colorado Department of Revenue (DOR) is seeking a dedicated and versatile Administrative Assistant to join our Mail Services team.

This on-site role is essential to the Department's daily operations, ensuring the efficient handling of both incoming and outgoing communications at our Denver Howard Building location.

As a key member of a collaborative team, you will be responsible for the full lifecycle of departmental mail and packages.

This includes picking up and transporting mail between facilities using state fleet vehicles, meticulously sorting and processing incoming correspondence, and preparing high volumes of outgoing mail using specialized mailroom equipment.

What You'll Do:
  • Logistics & Transportation: You will safely operate state fleet vehicles (including vans or box trucks) to transport mail, supplies, and equipment along prescribed routes between USPS and various state agencies.

  • Administrative Processing: You will process returned warrants, research unclear addresses to ensure proper delivery, and maintain accurate tracking logs and reports for office operations.

  • Distribution Oversight: You will manage dock deliveries, performing security screenings and coordinating the notification and pickup of packages for various divisions.

  • Customer Service: You will provide high-quality support to taxpayers and internal staff by fulfilling requests for tax forms and booklets and providing official copies of tax returns.

G3A3XX ADMINISTRATIVE ASSISTANT II

MINIMUM QUALIFICATIONS:

Experience Only: Two (2) years of work experience in a professional office setting conducting such tasks as:

  • Interfacing with a variety of people from many levels within the organization and community.
  • Mail and package delivery to other offices.
  • Drive a state fleet vehicle between office locations in the Denver metro area.
  • Lift boxes weighing up to 50 pounds regularly throughout an 8-hour work shift.
  • Regular, daily work responsibilities utilizing computer systems, scanners, printers, copiers, fax machines and other technologies such as mailing equipment.
  • Entering confidential customer information into a program or database (customer records).
  • Reviewing and comparing data for accuracy and completeness. Also, gathering specified information and compiling routine reports.

Education and Experience: A combination of related education and/or relevant experience in an occupation related to the work assigned (as outlined above) equal to two (2) years.

Necessary Requirements:
  • Valid Driver's License with a safe driving record.
  • Ability to lift boxes weighing up to 50 pounds regularly throughout an 8-hour work shift.

Preferred Qualifications:

The ideal candidate will possess the following skills:

  • Experience working in a mail center or mailroom

  • Experience operating a postage meter

  • State experience in a mail processing role

  • Experience driving a box truck with a lift gate and/or a cargo van

  • Experience with data entry

  • Attention to detail

  • Customer service experience

  • Computer and math skills


Conditions of Employment with the CDOR:

Employees are in a position of public trust in the performance of their job duties and must operate in a manner that maintains the highest standards of honesty, integrity, and public confidence.

As a condition of employment with the CDOR, all personnel must file all necessary Colorado Individual Income Tax (CIIT) returns and pay tax obligations, therefore all employees must undergo a pre-employment evaluation of their tax records/accounts to ensure compliance with this policy.

Final candidates must also complete a successful background investigation and reference check prior to appointment. Certain positions based on duties may require scheduled background investigations.
