Job Description

Summary

This role involves managing the library's volunteer program by recruiting, training, and coordinating over 200 community members who help with daily services, while also supporting volunteer efforts across the broader recreation and cultural department.

The coordinator will lead projects in customer service and community engagement, working closely with diverse teams in a busy public setting.

Ideal candidates are experienced in volunteer coordination from community or service-oriented backgrounds, thrive in fast-paced environments, and value creating inclusive, supportive spaces for everyone.

This position coordinates the Library’s active volunteer program, more than 200 community members who contribute their time and talents to library services and also supports volunteer initiatives and planning across the broader Library, Recreation, and Cultural Services (LRCS) department.

The work involves collaborating with staff at all levels and across multiple workgroups, helping shape consistent and positive volunteer experiences division-wide.

As a Senior Program Coordinator, you will also lead and support projects connected to customer service, community engagement, and administrative operations.

Experience in working with volunteers is a must, and experience in settings such as community groups, libraries, education, cultural organizations, or social services is a plus.

The successful candidate will have proven success in fast-paced and complex workplaces and teams requiring a high level of ability to multitask, prioritize and re-prioritize tasks as needed, while balancing long-term and short-term projects and goals.

Salary: $35.74 – $44.54 hourly / $74,339.20 - $92,643.20 Annually

Work Location: Downtown Library, 100 W. 10th Avenue, Eugene, OR 97401

Schedule: Monday - Friday, 8:30 AM - 5:00 PM with occasional evenings and weekends per business need

Bilingual Pay Benefit: This position qualifies for up to an additional 5% of base salary for bilingual pay. Please see “Supplemental Information” at the end of the posting for more information.

Requirements

Develops, promotes, manages, and evaluates Library Volunteer Program.

  • Develop and evaluate program goals, objectives, and policies
  • Assist staff in identifying and prioritizing volunteer opportunities
  • Recruit, select, train, recognize, and coordinate volunteers
  • Develop training programs for staff and volunteers
  • Supervise a team of volunteers
  • Maintain volunteer records and data
  • Run reports and provide regular statistical information
  • Coach staff through holding volunteers accountable
  • Keeps informed of new developments and technology in the field of volunteer management; remains competent through self-directed professional reading, development of professional contacts, and attending trainings.

Involved with communication and community relations efforts.

  • Create temporary signage, as needed, for library facilities.
  • Work with vendors and contractors for purchasing communication services and materials.
  • Develops, solicits, and delivers public speaking presentations when needed.
  • Acts as liaison between the Library and the Library, Recreation and Cultural Services (LRCS) Marketing team for implementation of longer-term communication and publicity efforts

Takes the lead on a wide variety of projects.

  • Gathering research information
  • Handling Request for Quotes process
  • Coordinate implementation of one-time facility projects
  • Representing the Administrative Team on Library-wide and/or City-wide initiatives.

Active member of the Library Administration Team

  • Covers Library Administration Reception desk in partnership with other members of the Admin Team
  • Writes and proofreads written materials when needed.
  • Actively supports and respects diversity in the workplace.
  • Performs related and other duties as assigned.

Minimum Qualifications

Experience

Four years of progressively responsible paraprofessional experience in the program or operational area or a related field, including at least two years of experience at the paraprofessional journey-level.

Two of the four years of experience must also include volunteer management and community relations. Education

Equivalent to an Associate degree with major course work in the area of assignment, or in public administration, business administration, or a related field.

Background

Must pass a background check.


The ideal candidate will have the following knowledge, skills, and abilities

  • Managing volunteers: developing positions, recruiting, training, managing, recognizing, and evaluating volunteers.
  • Ability to keep track of a large amount of moving pieces, utilizing effective project and time management tools, and keeping others in the communication loop.
  • Applying effective interpersonal skills in engaging with different personalities, learners, thinkers, and communicators internally and externally to our organization.
  • Excellence in managing a high volume of communications with professionalism, compassion, and clarity both verbally and in writing.
  • A high aptitude for teamwork and exceptional customer service to community patrons, peers in the Library, LRCS Department, and other City Departments and employees.
  • Knowledge of and interest in Eugene Public Library and the benefits delivered to the Eugene community.
  • Proficiency of Microsoft Office and Adobe products, and technical skills that can be applied to the library's volunteer management database software program and City of Eugene intranet.
  • Preparing and delivering public speaking presentations.

Additional Information

Bilingual Pay Benefit

Per the AFSCME contract, the City shall pay an employee an additional 5% for a required intermediate or advanced level competency.

To qualify for bilingual pay, the employee must have demonstrated fluency in the required language and successfully pass a fluency examination administered by the City's Employee Resource Center division.
