Job Description

Summary

This job is an office support role in the workers' compensation insurance division of Washington's Department of Labor & Industries, where you'll review and process documents, handle mail, answer phones, and assist with claims-related tasks in a busy environment.

It's ideal for someone detail-oriented who enjoys multitasking and wants to grow in administrative work supporting worker safety and benefits.

No advanced degree is needed, just basic clerical experience and solid typing skills.

If selected, your primary duties for this position include reviewing and processing incoming documents in the department’s mainframe system, answering incoming telephone calls, and providing support to Claims Unit supervisors and peers.

As an Office Assistant 3, you will also accomplish this work by multitasking in a fast-paced environment.

Requirements

Some of what you’ll do:

  • Independently reviews and analyzes a large volume of incoming doc types in ORION imaging and determines whether further action is needed
  • Reviews all incoming Board of Industrial Insurance Appeals (BIIA) documents
  • Identifies new protests to determinative orders and worker disputes to claim adjudicators.
  • Receives incoming campus mail and distributes to other sections within the program.
  • Processes letters for certified mail and outgoing translations.
  • Preps outgoing mail for campus pickup.
  • Reviews Notice of Representation requests, adds and removes worker and self-insured employer attorneys from claims, and sends correspondences to the appropriate parties.
  • Processes CD requests.

Qualifications

Required:

  • High school diploma or equivalent.
  • Two (2) years of clerical and/or data entry experience.
  • Ability to type a minimum of 40 wpm including reduction for errors (verified through certified typing assessment, see below).

  • Ability to answer multi-line telephones, take messages, transfer calls, and provide excellent customer service.
  • Dependability, punctuality, and good attendance are essential to this position.
  • Ability to apply appropriate force to push/pull items weighing up to 30 pounds using hands, carts, and other work aids.
  • Ability to sit and stand for long periods of time.
  • Ability to manage time, prioritize work to best accomplish the workload and manage the work schedule without waiting for supervisor directions, yet recognize when supervisor direction is needed.
  • Excellent written and verbal communication skills. Must be able to answer questions and provide clarification appropriately to the knowledge and understanding of the customer.
  • Receptive to change and adaptable to new situations and processes.
  • Ability to effectively communicate with and assist difficult people. Must be able to respond in an appropriate manner to reduce or minimize potential conflict and maintain a working relationship yet know when it’s appropriate to remove themselves from the situation and contact the supervisor.
