The Washington State Office of the Attorney General is recruiting for two permanent full time Legal Office Assistants in the Social and Health Services Division. These position are located in Spokane, Washington, and are represented by the Washington Federation of State Employees (WFSE).

Position and Salary
The Attorney General’s Office is recruiting for a permanent full time Legal Office Assistant in the Medicaid Fraud & Abuse Division. This position is located in Olympia, Washington, and is represented by the Washington Federation of State Employees (WFSE).

Salary range 40: $42,972 - $57,252
The base pay offered will take into account internal equity and may vary depending on the preferred candidate’s job-related knowledge, skills, and experience.

The following stipends may apply based on position requirements:

  • Incumbents assigned to our Seattle office location receive an additional 5% King County Location Pay stipend.
  • Incumbents assigned to a position designated as requiring dual language skills will receive a 5% Dual Language Requirement Pay stipend.

About the Medicaid Fraud & Abuse Division

The work of the Office’s Medicaid Fraud & Abuse Division (MFAD) focuses on both criminal and civil law enforcement.

The 75% federally funded MFAD’s mission is combating provider fraud, abuse, and neglect in residential facilities and cases involving Medicaid recipients in non-institutional settings.

MFAD’s headquarters is in Olympia, Washington, with team members also located at the AGO’s Spokane and Seattle offices.

The Division has 66 FTEs, including attorneys, auditors, special agents, data analysts, clinical health investigators, and professional support staff.

MFAD protects not only the $22.9 billion annual Medicaid program but also some of Washington’s most vulnerable residents, often elderly individuals in residential facilities or persons harmed by a Medicaid provider.

Many of our cases involve novel legal issues, placing MFAD at the forefront of innovative legal approaches.

Cases range from abuse and neglect in nursing homes to large-scale civil and criminal fraud, including national whistleblower actions.

Our staff is a professional, experienced, and collaborative team and MFAD is unique in that each case is handled by an attorney, special agent, and data analyst with support from Legal Office Assistants and other professional staff.

This combination of people and structure creates a dynamic and supportive team environment, where support staff play a vital role in the Division’s success.

Duties and Essential Functions of a Legal Office Assistant

The Legal Office Assistant provides administrative and legal support to the division and works closely with the Grant and Operations Manager (GOM), the existing Legal Office Assistant, and the Administrative Assistant to ensure efficient and effective daily operations.

Responsibilities include, but are not limited to:

  • Managing office inventory by monitoring supply levels, restocking materials, and maintaining an organized supply room.
  • Answers, screens, and routes incoming telephone calls; assists with copiers, printers, and other office equipment; and coordinates maintenance or troubleshoots minor technical issues as needed.
  • General administrative tasks, including photocopying, scanning, document preparation, and maintaining internal contact lists, directories, and other organizational resources.
  • Assists with travel and expense-related processes, including making travel arrangements such as reserving flights, lodging, and rental cars, and supporting travel reimbursements, vendor payments, and expense processing.
  • Maintains accurate electronic and hard copy records of receipts, invoices, training logs, and other office and fiscal documents in accordance with AGO and OFM guidelines and assists with records management and archiving of case files to ensure proper retention and disposition practices.
  • Supports vehicle records, mileage logs, maintenance schedules, and the Critical Events Calendar, participates in recurring reporting tasks and office projects, and performs other related duties as assigned to support the overall efficiency and effectiveness of the division.
  • Legal support duties include filing documents with courts, obtaining attorney signatures, processing incoming mail and email, and delivering documents or checks to courts, fiscal offices, or other agencies.
  • Supports case management by opening and closing cases, saving and organizing documents, creating and maintaining electronic and physical folder structures, and verifying case information in the case management system (CMS).
  • Organizes and maintains legal documents, evidence, and exhibits to ensure accuracy, accessibility, and compliance with established procedures and deadlines.

Qualifications

Option 1: High School diploma or equivalent and two years of clerical experience including a minimum of six months of experience in a legal office environment.

Option 2: One year of legal office experience. Option 3: A combination of two years of college education and/or relevant experience.

Option 4: A two-year degree in Legal Secretary Studies, Paralegal studies or related field of study.


Conditions of Employment

A background check consisting of employment history, professional references and educational verification (e.g., degree, license, or official transcript) may be conducted.

Prior to any offer, the applicant selected will be required to submit to and pass a fingerprint-based criminal background check conducted by the Washington State Patrol, Criminal Records Division.

The incumbent will submit to additional background checks as a condition of employment every five (5) years thereafter.
