This position is located in the Centralized Document Management (CDM), Richland County.

Are you the One? We are looking for a CDM Operations Supervisor who will be responsible for recruiting and orienting employees. As staff undergo training, employees are under the guidance of the Supervisor and their Team Leads ensure that they are performing their duties to the best of their abilities. Besides training, the Supervisor oversees resolving employee issues and disputes. This includes attendance, additional training and work performance. Guaranteeing a comfortable and productive workplace environment is also of importance. To manage the department, the Supervisor determines the processes and procedures that direct the CDM. They are also responsible for organizing the daily workflow and productivity of the workspace by delegating tasks, maintain timekeeping and personnel files and creating regular schedules. Additional duties also include assisting the Quality Reviewers in evaluating errors on weekly reports. This is done in the form of regular meetings and conference calls to discuss the status of the CDM.

Leads a team of skilled Records Analysts, directing the efforts of staff and managing work within the team. Monitors daily team member performance.

Implements agency-standard workflow processes and procedures. Offers direction to team members regarding the efficacy of agency policies, procedures, and processes.

Ensures that analysts are held responsible for adhering to the established guidelines regarding attendance and the execution of workplace responsibilities.

Provides high level of customer service when additional information is requested.

Supervisor responsibilities include coaching, mentoring, and developing team skills. Supervisor is responsible for collaborating with EEMS training department for the training of new staff.

Supervisor may delegate tasks to team leads to assist in the training and development of the team.

Supervisor is also responsible for reviewing quality reports to assess the need for additional training for team members.

Maintains a professional demeanor and communication style, ensuring that communication and interactions with coworkers, supervisors, and beneficiaries is clear, polite, and concise.

Participates in customer service and privacy training and ensures that confidential or private information is maintained in accordance with State and Federal law as articulated through departmental policies and training.

Requirements

A bachelor’s degree and relevant professional experience in social service programs, business administration, general administrative management or relevant program experience.

An equivalent combination of experience and education may be considered with prior State Human Resources approval

Additional Requirements:
  • Sitting or standing for long periods of time.
  • A valid driver's license is required.
  • Requires holder to drive routinely.

Qualifications

Knowledge of automated records and information storage and retrieval systems. Knowledge of and ability to apply records and information management principles and techniques.

Ability to exercise judgment and discretion. Ability to establish and maintain effective working relationships.

Ability to effectively manage time and prioritize tasks and projects with competing deadlines. Demonstrated ability to lead and manage a staff.

Ability to communicate and collaborate with staff from different levels of the workforce.

  • Must have computer proficiency skills including, Microsoft Office software, internet browsers, and using multiple operating systems at one time. Must be able to perform basic mathematical computations. Familiar with HIPAA and confidentiality laws.
