Full Job Description
Serves as Office Manager for South Carolina Highway Patrol Troop 8, Area Coordinated Enforcement (ACE) Unit. Performs complex administrative duties and general office operations in support of the Troop 8 ACE command staff and field personnel.
Under general supervision, independently performs a variety of complex administrative and office management functions involved in the operation of Troop 8 ACE Headquarters. Receives, routes, and appropriately responds to telephone calls, visitors, and email inquiries for Troop 8 Headquarters. Provides professional customer service in assisting department employees and the general public.
Serves as a Human Resources Liaison. Maintains, updates, and secures personnel records for all Troop 8 personnel. Attends meetings and classes relating to human resources and South Carolina Enterprise Information System (SCEIS) processes and procedures to maintain updated information. Secures and maintains files of a confidential nature, such as complaints, disciplinary actions, and salary actions. Prepares and forwards Employee Performance Management System (EPMS) reviews and position descriptions (PD) to supervisors to be completed on employees. Reviews EPMS and PD documents upon return to ensure forms are completed correctly. Tracks officer eligibility for career path advancement and coordinates the processing of reclassifications and step-pay increases.
Composes and types professional correspondence and reports for Troop 8 ACE command staff ensuring that format, grammar, spelling and punctuation are correct. Assists in the preparation of disciplinary action documentation related to Troop 8 ACE personnel.
Serves as the SCEIS Time Administrator and Payroll Coordinator for Troop 8 ACE. Facilitates the resolution of time, leave, and overtime pay matters. Assists in managing documents for The Commission on Accreditation for Law Enforcement Agencies (CALEA) compliance.
Utilizes databases and electronic systems to track information, documents, and reports. Prepares and submits enforcement data, notifications, court documents, and reports related to law enforcement activity and emergency operations as required. Performs other general office duties as assigned.
Requirements
State Minimum Requirements -
A high school diploma and relevant experience in business management, public administration, or administrative services or a bachelor's degree may be substituted for the required work experience.
Agency Minimum Requirements - Applicant must possess at least one of the following:
1) At least a bachelor's degree in business management, public administration, or administrative services;
2) An associate's degree in a related field and two (2) years of administrative experience; or
3) A high school diploma and four (4) years of administrative experience.
Additional Requirements -
Proficiency in Microsoft Office Word and Excel computer applications. Knowledge of modem office management policies, practices and procedures. Must have extensive knowledge of grammatical rules, language usage and formatting of professional correspondence. Ability to comprehend and communicate effectively orally and in writing. Requires a high degree of confidentiality in handling sensitive business matters.
Under general supervision, employee works independently in interpreting and applying policies and procedures, using sound decision-making, discretion, and professionalism.
