Full Job Description

Position is responsible for data entry skills to the payroll section and assist with various activities in support of payroll operations and also responsible for daily financial operations and financial health of the various entities of the department. Monitors expenditure patterns, evaluates trends and variances make adjustments as needed and also makes recommendation to Senior Management.

Requirements

Updates, maintains, and monitors spreadsheets, databases, and invoices for discrepancies.

Establishes good working knowledge of utility various type of billing structures.

Processes petty cash reimbursements.

Processes and handles bills for the Administrative Division and assigned Regions

Sets up GL chart of account coding as needed.

Prepares Ordinance Proposal requests.

Prepares and processes necessary journal entries and budget transfers.

Develops and maintains procedures and training for the Department related to Personnel Budgets, expenditures and transactions.

Assists with all tasks related to the budget preparation and data entry into Hyperion.

Supports CFO and Deputy CFO on various on various projects.

Maintains the Accounts Payable files, documentation, etc.

Responds to and resolves most Accounts Payable questions and issues.

Assists other Department staff with questions regarding payroll system capabilities for inquiries.

Maintains personnel information Confidentiality.

Serves as a back up to review all hiring packets for completeness and accuracy.

Serves as a back up to review and input personnel changes to the payroll system.

Runs Reports to ensure that personnel are being paid correctly (Like – Std v/s Rtd Hrs., Time Date Query...Etc.)

Investigates and reconcile errors: approves adjustments.

Develops queries; generates and distributes reports.

Maintains appropriate records, files and documentation.

Sorts and distributes pay checks as required.

Qualifications

Bachelor's Degree in Business Administration, Finance, Public Administration or related field. Exceptional internal and external customer service whether face to face and/or telephonically in a professional and courteous manner. Knowledge of spreadsheet(s), database(s), and other software is required. Must be able to type, update and/or create reports, and spreadsheets as needed. Demonstrate creative ability when presented with unformatted projects and/or ideas. Must be able to communicate effectively both in oral and written formats.

Additional Information

Established policies and procedures exist to direct most actions. Independent judgment is used in monitoring and applying Department and City policies to day to day financial and related operations. This position works under general supervision and carries out broad and complex assignments requiring comprehensive knowledge in the field of specialization and of the organization in order to interpret and apply policies, as well as develop recommendations for change.
