Job Description

Summary

This job involves organizing and scanning health records and administrative documents to support patient care at a VA medical facility in Beckley, West Virginia.

You'll use computers to file information accurately and help ensure veterans receive timely services.

It's a good fit for detail-oriented people with basic computer skills and an interest in healthcare support roles.

Full Job Description

The primary purpose of the work is to provide timely and accurate filing/scanning service to facilitate the work of the medical facility.

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 04/02/2026.

Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement.

For a GS-04 position you must have served 52 weeks at the GS-03. The grade may have been in any occupation but must have been held in the Federal service.

An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials.

If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement.

In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.

Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.

You may qualify based on your experience and/or education as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-03 in the normal line of progression for the occupation in the organization.

Examples of specialized experience would typically include but are not limited to: using computer technology and procedures to image, scan, and fax various applications for storage in medical records AND applying knowledge of Federal filing systems.

OR, Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have 2 years above high school.

OR, Combination: Applicants may also combine education and experience to qualify at this level. You must have a combination of specialized experience and education beyond associates degree.

Preferred experience: Computer skills, knowledge in CPRS is a plus. Any medical form knowledge is also a plus (i.e.

Major Duties:

Major Duties: Perform duties related to the receipt, intake, and indexing of health and administrative information.

Interface with personal computer (PC) applications, DSS programs as well as numerous Vista applications.

Will index each scanned document into a SQL database which will be accessed via CPRS (Computerized Patient Records System) GUI tools, associate each scanned document with the correct patient's CPRS record, the appropriate TIU document, assign the appropriate document-named nomenclature, and electronically sign on chart scanned documents.

Will review and research numerous and voluminous medical reports from non-VA health care facilities deciding as to which documents are to be scanned, and when necessary, obtain guidance from providers and/or CPRS Committee's guidelines.

Ensure that all necessary health/administrative information is integrated into Vista through PC scanning software. Index information using PC/Vista application bridges.

Assist in training clinic staff in scanning key documents created on a concurrent basis (i.e.ER notes, advanced directives, consents, conscious sedation flowsheets, etc.).

Resolve File Room issues such as lost records, urgent need for large record pulls for external reviewers and research purposes, and retrieval of old hard copy reports from multiple volumes of patients' records, etc.
