Job Description

Summary

This role involves providing high-level administrative support to a senior executive in the Navy's international programs office, including managing busy schedules, coordinating meetings, and handling communications with staff and external partners.

It also requires leading diplomatic protocol efforts, such as planning official visits, ceremonies, and events for VIPs and foreign dignitaries.

Key Requirements

  • Knowledge of U.S. Government, DoD, DoN, and international diplomatic protocol, customs, courtesies, and etiquette
  • Ability to plan, coordinate, and execute official visits, ceremonies, and events for distinguished visitors and foreign dignitaries
  • Strong skills in acting as a liaison between executives, staff, and external stakeholders
  • Experience in front office management, including policy administration and recommending improvements

Full Job Description

You will serve as an EXECUTIVE ASSISTANT AND PROTOCOL & DIPLOMATIC SUPPORT SPECIALIST in the NAVY INTERNATIONAL PROGRAMS OFFICE (NIPO).

Your resume must demonstrate at least one year of specialized experience at or equivalent to the NH-02 grade level or pay band in the Federal service or equivalent experience in the private or public sector.

Specialized experience must demonstrate the following: Experience applying executive-level administrative support principles, practices, and procedures sufficient to manage a complex front office operation for an SES-level executive.

Experience managing high-volume, dynamic calendars and independently prioritizing and deconflicting senior executive schedules.

Experience with automated administrative tools, including MS Office Suite, MS Teams, VTC systems (both unclassified and classified), and travel/correspondence management systems.

Experience applying U.S.

Government, DOW, DON, and international diplomatic protocol, customs, courtesies, and etiquette sufficient to plan, coordinate, and execute official visits and ceremonies for distinguished visitors and foreign dignitaries.

  • You will serve as the lead for managing a dynamic and complex calendar, briefing the Executive Director daily on upcoming tasks, matters for consideration, and agenda items prior to scheduled meetings.
  • You will act as the primary point of contact and liaison between the Executive Director, internal staff, other directorates, senior leadership, and external stakeholders.
  • You will make all logistical arrangements for meetings and conferences hosted by the Executive Director, including coordinating locations, times, participants, and agenda items.
  • You will serve as the front office manager, ensuring efficiency in the administration of front office policies, practices, and procedures, and recommending changes to the Executive Director and other senior leaders.
  • You will serve as the Protocol Lead for the command. You will be the primary point of contact and internal coordinator for visits by senior officials, VIPs, foreign delegations, and government dignitaries.
  • You will plan, coordinate, and execute formal events, receptions, award ceremonies, and official dinners hosted by the Director or Executive Director.
