Full Job Description
The Executive Assistant to the VP for Finance and Business Affairs is a trusted member of the executive leadership team, providing confidential high-quality administrative and operational technical support to drive strategic priorities and coordination across Finance, Information Technology, and Institutional Research/Strategic Planning Departments, and the College at large.
The position operates under limited supervision with discretion and judgement to coordinate internal and external activities for the Vice President and Division.
Responsibilities Include:
- Executive Office Management: Manage VP calendar, communications, travel, and cross-divisional deliverables; route contracts and documents.
- Administrative & Operational Support: Oversee budgets, policies, executive materials, records, compliance, and emergency planning.
- Meetings & Governance: Coordinate agendas, materials, logistics, and track action items.
- Auxiliary Business Support: Support operations, contracts, and performance monitoring.
- Student Success Support: Assist with student inquiries, scheduling, and referrals.
- Other Duties: Perform additional tasks as assigned.
Requirements
A high school diploma and relevant experience in business management, public administration, or administrative services, or a bachelor's degree may be substituted for the required work experience.
Qualifications
Qualifications and Skills Required- Knowledge of modern office practices, software, procedures, and equipment.
- Practical experience or education in budgets and accounting.
- Strong interpersonal skills; able to work collaboratively with colleagues and coordinate administrative activities across departments.
- Ability to work independently and take initiative.
- Competence in coordinating diverse administrative and management functions, planning, organizing, and supervising assigned projects.
- Proven ability to establish and maintain effective working relationships.
- Excellent verbal and written communication skills.
- Preferred experience: managing contracts, leases, electronic document workflows, and projects.
