Full Job Description

Seattle Municipal Court's mission is to provide a forum for individuals to resolve alleged violations of the law in a respectful, independent, and impartial manner.

The Clerk’s Office is recruiting for a Court Clerk Supervisor. This role supports courtroom operations within the Court Operations Division.

Court Clerk Supervisors lead and develop courtroom staff and work closely with judges, magistrates, interpreters, attorneys, and other justice partners.

You will feel prepared if you have experience in:

  • Supervising employees in a court, legal environment, or similar.
  • Coaching, mentoring, and training new employees.
  • Evaluating complex issues related to and preparing recommendations.
  • Drafting policies and procedures.
  • Navigating and entering information into C-Track or other legal case management systems.
  • Utilizing Microsoft Office Software (e.g., Word, Excel, Teams, etc.) with intermediate to advanced proficiency to update or prepare documents/materials and conduct presentations.

Requirements

  • Supervise, coordinate, organize, plan and direct daily activities of the Court Clerks.
  • Perform the duties of employees as necessary, including courtroom clerk coverage as needed. Prepare work schedules. Approve leave requests and time sheets.
  • Work with the Clerk’s Office Manager to establish goals, priorities, and work standards.
  • Work under pressure and prioritize tasks and follow up as appropriate.
  • Evaluate employee performance through direct observation, quantity, and quality of work product, write and deliver probationary and annual staff performance evaluations, and work with department manager on any disciplinary matters.
  • Conduct research on judicial activities, assist the Clerk’s Office Manager in courtroom calendar analysis and prepare statistical and other reports for inquiring parties.
  • Assist staff and customers with difficult situation sand processes.
  • Facilitate resolution to conflicts with staff and/or customers.
  • Supervise and coach administrative Court Clerk assignments like preparing court calendars, locating paperwork, responding correspondence, filing, and managing digital record and logs.
  • Partner with Court IT on modifications and enhancements to the Court’s in-house database system, MCIS, and courtroom electronic records.
  • Resolve issues and/or complaints from staff and court customers.
  • Interpret, develop, revise, and implement general laws, legislation, policies, procedures, and other Court related records.
  • Establish and maintain effective working relationships with staff, the bench, management, stakeholders, and the public.
  • Perform as the Assistant TAC (Technical Administration Coordinator) to ensure the integrity of the process for the following:
    • Monitor/maintain appropriate state certification requirements for staff
    • Facilitate training of staff on new policies/procedures as they arise to remain in compliance with Washington State Patrol and the Federal Bureau of Investigations.
    • Validate various court orders to meet Washing State Patrol audit requirements.

Qualifications

Minimum Qualifications:

  • Requires one year of experience as a Court Clerk or other similarly related experience (or a combination of education, training, and/or experience which provides evidence of the ability to perform the listed job duties.

Desired Qualifications

  • Supervisory experience in a court, legal, or comparable structured environment.
  • Strong organizational skills with the ability to manage multiple priorities in a fast-paced setting.
  • Ability to maintain professionalism, confidentiality, and composure when working with diverse individuals.
  • Knowledge of court processes, legal terminology, and case management systems.
  • Experience coaching staff, resolving conflicts, and implementing policies or procedures.

Salary

This position is part of the 5-Step Compensation program; Full salary range for this position is $42.96 (Step 1) - $50.00 (Step 5).

To ensure internal equity, the expected starting salary for external applicants is Step 1- $42.96.The starting rate of pay for current City of Seattle Employees will be based on Personnel Rules regarding promotions.

Work Environment

Alternative Work Arrangements and teleworking may be considered for this position. The person in this role must reside within the State of Washington and be available for onsite work.
