Job Duties:

  • The County Admin Support Specialist II perform a variety advanced clerical and typing duties. Exercise judgment and discretion in various duties performed for the agency. Provide quality service to our clientele and provide administrative support for all program areas of the agency.

Process applications via office drop off, on-line, fax or mail from clients applying for SNAP/TANF/Refugee program. Accept recertification forms via drop-off, mail or fax.

Review and explain processing procedure to client, register applications and recertification in SCWINS and CHIP systems, scan to SCOSA, assign and scan all documents received from clients to the appropriate worker or folder into SCOSA.


  • Greet customers at receptionist desk; inquire of customers' needs and direct them to the appropriate worker/department or other agencies.

Perform telephone duties takes incoming calls direct/answer client inquires regarding DSS program and services.

All other front desk duties includes maintaining in/out log of customers visits, drop off paperwork log, record claims payments.

Open the office in a timely manner for operation such as unlocking front doors and front desk windows.


  • Ensure that all mail via drop box, postal mail, email, fax and delivered in person from clients are date stamped, reviewed and distributed for processing. Ensure all faxes are logged.

  • Provide administrative support for all program area and clientele; copying, faxing, review CAPSS system for filing and prepare Human Services files for Archives.

  • Ensure that all necessary DSS forms are available for clients which includes application packet, recertification forms, ABC Child Care, Child Support.

  • Ensure that Personal Identifying Information (PII) is properly used, accessed, gathered, shared and disposed. To protect the agency networks and applications by safeguarding systems, equipment and data.

  • Perform job delivery and\or performance with positive or appropriate customer service delivery to clients, the public and coworkers as an integral requirements.

  • Perform Red Cross Shelter duty or other emergency shelter duty\services as directed.

  • Perform related duties as required: Attend trainings\mandatory meetings, state vehicle maintenance, bank deposits.

Requirements

A High School Diploma and two (2) years of clerical experience.

An Associate Degree or a Bachelor’s Degree may be substituted for all or part of the work requirements.
