This recruitment will fill multiple permanent positions.

The positions filled are assigned to designated Department of Corrections locations throughout the state; however, they will have the flexibility to telework from home or report to an approved physical office per the Telework Agreement.

The Washington State Department of Corrections (DOC) is seeking analytical, highly motivated, and qualified individuals to fill permanent Correctional Records Technician (CRT) positions within various Tolling Units in the agency!

The goal of the Correctional Records Technician is to enter, verify, and ensure an individual's tolling and sentence structure information is in compliance with appropriate laws and agency policy, for those under the jurisdiction of the Department of Corrections, for appropriate supervision within the community.

Appropriate tolling is necessary for the calculation of return and revoke time for confinement of certain sentence types.

The CRT contributes to the agency's mission to improve public safety by completing audits, by reviewing the electronic database information against the source documents and resolves any issues from the sentence computation.

    Requirements

    As a custodian of agency records, the Correctional Records Technician (CRT) enters, verifies, and ensures an individual’s tolling and sentence structure information is in compliance with appropriate laws and agency policy, for those under the jurisdiction of the Department of Corrections, for appropriate supervision within the community.

    Appropriate tolling is necessary for the calculation of return and revoke time for confinement of certain sentence types.

    The CRT contributes to the agency’s mission to improve public safety by completing audits, by reviewing the electronic database information against the source documents and resolving any issues from the sentence computation.

    Duties:

    • Review and verify Scheduled End Dates (SED) for individuals under Department of Corrections (DOC) supervision.
      • Audit, review, and verify accuracy of tolling for individuals under DOC supervision.
      • Audit, review, and verify accuracy of tolling for individuals currently incarcerated on Community Custody Prison (CCP) Return, Community Placement (CP) Terminate, and Drug Offender Sentencing Alternative (DOSA) Revokes or DOSA Reclasses.
      • Audit and reconcile tolling for individuals under DOC supervision when requested to by DOC staff.
      • Applying Supervision Compliance Credits (SCC)
      • Provide support to the Violator Unit, Hearings Unit, Return/Revoke (R&R) Unit with regards to reviewing and reconciling tolling for individuals under DOC supervision SEDs for accuracy, credits, and jurisdictional issues.
      • Will ensure agency databases reflect the SED as calculated by the tolling activities by updating the User Provided SED in OMNI and STEM.
      • Review tolling prior to entering tolling movements into OMNI after receiving emailed requests from Community Custody Division (CCD) staff.
      • Update the User Provided SED in OMNI and STEM as appropriate.
      • Complete appropriate paperwork affecting SEDs for closure of causes.
      • Ensure appropriate paperwork is placed into correct databases (OnBase, SharePoint, etc.).
      • Apply Supreme Court decisions, Superior Court decisions, Appellate opinions, RCW, WAC and Indeterminate Sentence Review Board (ISRB) redeterminations in order to properly compute or re-compute the SED for individuals under the Department’s jurisdiction.
    • Prioritize and respond to incoming requests in a timely manner. This includes effectively communicating with the requestor and others.
    • Maintain electronic files.

    Qualifications

    What we need (required qualifications):

    • High School diploma or equivalent.
    • Two (2) years of experience maintaining or processing files such as legal files, property files, grievance files, administrative files, medical files, parole files, counselor files, or custody files, in a governmental law enforcement office, court setting, or an adult or juvenile correctional agency.
    • Must respect and maintain confidentiality.
    • Demonstrated ability to effectively communicate with co-workers, the public, and/or criminal justice agencies.
    • Demonstrated ability to analyze and solve problems under highly stressful or adverse situations.
    • Demonstrated ability to learn and utilize computer-based applications in the performance of job duties.
    • Maintain knowledge of Washington Sentence Structure, Records Procedures, and DOC Policy to ensure jurisdiction of supervision.

    Telework Details

    This position may be allocated for telework.

    If authorized for the role, work may be performed from your home or another offsite location within the state of Washington using a reliable internet or cellular hotspot service at that time.

    Employees are expected to perform assigned duties in a safe manner, to take proper care all state-issued equipment, and maintain confidentiality of all information in possession while working offsite.

    Employees will be required to commute to a Department of Corrections facility or field office as business requires, to potentially include components of the onboarding process.

    Some offices will have a “drop in” area available, however, a dedicated workspace within a DOC facility will not be provided.
