The Department of Children, Youth and Families is seeking an Administrative Assistant 5 (AA5) to serve as a confidential Administrative Assistant to the Senior Administrator of the Child Care Licensing Division and independently perform a wide variety of secretarial and high-level administrative duties.

The Opportunity:

As the Administrative Assistant 5 (AA5) you will provide technical assistance and ongoing risk management, and health and safety support to child care centers and family home child care providers, Family Friend and Neighbor child care providers.

Some of what you'll do:

  • Perform a wide variety of secretarial and high-level administrative duties to support the Senior Administrator.
  • Coordinate and manages travel arrangements for supervisors including registration, lodging, airfare, group transportation and parking.
  • Perform complex administrative duties such as developing cost estimates and coordinating purchases, resolving issues related to space, travel and equipment.
  • Manage and deploy purchasing and procurement processes for division. Directs staff on proper purchasing protocol and processes.
  • Manage and maintains confidential information and confidential administrative documents using appropriate methods and filing systems, with specific tracking approaches.
  • Coordinate space revision forms and assist in preparation of long-range plans for space utilization and renovation, on behalf of the Child Care Senior Administrator.
  • Facilitate and coordinate equipment assignments and inventory for employees in both Headquarters and multiple regional offices. Communicate equipment policies and procedures for both in-office and remote employees.
  • Support collaborative work with other department divisions, which may include: coordinating hiring activities, scheduling and coordinating meetings, providing communication and TA support.
  • Arrange meetings and conferences, take notes as requested.
  • Handle inquires personally or refers them to appropriate persons as circumstances warrant.
  • Arrange business itineraries and coordinate travel.
  • Coordinate personnel issues such as recruitment, selection, appointment, and promotion.


Required Qualifications:

  • Equivalent combination of education and experience totaling five (5) years of planning, policy analysis, coordination and consultation with a variety of public and private agencies, organizations, and/or levels of government.

OR

  • Associate’s degree and two (2) years of experience including planning, policy analysis, coordination and consultation with a variety of public and private agencies, organizations, and/or levels of government.

AND

  1. The ability to take action to learn and grow.
  2. The ability to take action to meet the needs of others.

In addition to those required qualifications, our ideal applicant will also have some or all of the following:

  • Demonstrated knowledge of DCYF policies, administrative procedures, program operations, services, and organizational structure.
  • Demonstrated knowledge of MS Outlook, MS Word, MS Excel, MS Publisher, MS PowerPoint and Adobe Acrobat.
  • Demonstrated knowledge of travel guidelines including DCYF Accounting policies, SAAM Policies, and OFM Regulations.
  • Ability to prepare executive correspondence, reports, and other documents.
  • Ability to make reasonable judgments in complex and changing organizational environment.
  • Ability to analyze sensitive issues in an objective and realistic manner and provide advice and consultation on these issues.
  • Ability to troubleshoot and resolve computer hardware, software, and other electronic equipment issues.
  • Ability to create presentations, complex charts and graphs, and electronic forms.
  • Ability to create and maintain tracking and monitoring systems.
  • Ability to organize, prioritize and complete multiple projects, with accuracy.
  • Ability to work independently to establish priorities and organize work to enable completion of assigned tasks in a timely and accurate manner.
