Full Job Description

This position works in a hybrid telework schedule with an expectation of being in the office when needed. Travel to various work sites, businesses, and/or meeting locations is required.

This position is hybrid with in-person requirements for regular meetings with occasional travel. Attendance at around eight monthly required in-person meetings and occasional travel to various work sites, businesses, and meeting locations is also expected. This is roughly a 50% in-person position.

In this role with the Long Range Planning Division, you will be part of a dynamic team working on environmental, land use, and transportation topics.

The Division currently supports multiple boards, commissions, and advisory groups, including the Planning Commission, Transportation Advisory Commission, Growth Management Coordinating Committee, Pierce County Regional Council, Landmarks and Historic Preservation Commission, Boundary Review Board, Planning and Community Development Advisory Group, and a Food Policy Advisory Group.

The Clerk will also support other highly visible meetings on an ad hoc basis.

As the Clerk to these boards, you will play an integral role in appointments for new members, scheduling and noticing meetings, ensuring materials are accessible, and ensuring productive meeting operations.

You will also participate in the Division’s legislative team and support the submission of complete and correct code packages.

How to be Successful in the Role:

Experiences facilitating boards and commissions, and knowledge of Robert’s Rules of Order are crucial.

You will also benefit from technical skills with meeting software (Teams and Zoom) and be able to assist meeting participants in real time as issues come up.

Your work will directly shape how Pierce County communities grow by supporting County programs and commissions.

Throughout the onboarding process, you will meet with the County Planning Manager regularly to discuss expectations and set goals for yourself as well as introduce you to the current policies and procedures, technology/software, and Pierce County Code.

Core Daily Responsibilities:

  • Schedule meetings for the Pierce County Planning Commission and Boundary Review Board; review materials for completeness; request additional information as required.
  • Assure administrative support procedures comply with applicable State laws and County code provisions.
  • Receive correspondence and documents requiring Board or Commission action; review materials for completeness; request additional information as required.
  • Compose correspondence for all related hearings and meetings including meeting resolutions and hearing decisions.
  • Prepare ordinances for County Council approval.
  • Maintain accurate and detailed records, files and data.
  • Establish and maintain effective working relationships with County officials, employees and the general public.

Qualifications

  • Additional education or experience may substitute for the recruiting requirements
  • Three or more years of progressively responsible office support work

Preferred Qualifications:

  • Experience with boards and commissions
  • Familiarity with Robert’s Rules of Order
  • Knowledge of Teams and Zoom and facilitating hybrid meetings
  • Strong Microsoft Office skills
  • Tech-savvy and understands basic computer hardware and troubleshooting
  • International Institute of Municipal Clerks certification
