Job Description

Summary

This job involves providing everyday administrative help in a military medical center's surgery department, such as handling paperwork, tracking records, onboarding new staff, and assisting with travel arrangements.

Key Requirements

  • One year of specialized experience in responding to inquiries, preparing correspondence, maintaining files, and using automated systems (or equivalent at GS-04 level)
  • Four years of education above high school in business, secretarial, or technical fields (or a combination of education and experience totaling 100% of requirements)
  • 52 weeks of federal service at GS-04 or equivalent within the last 52 weeks (time-in-grade requirement for current federal employees)
  • Eligibility under specific federal hiring authorities, such as current DHA/DoD civilians, military spouses, veterans, or people with disabilities

About the Position: This position is located at Madigan Army Medical Center, Department of Surgery - Otorhinolaryngology Services in Tacoma, Washington. Advance in Hire may be authorized.

Specialized Experience: One year of specialized experience which includes: responding to routine inquiries, preparing correspondence, maintaining files or records; and using automated systems to perform duties.

This definition of specialized experience is typical of work performed at the next lower grade/level position in the federal service (GS-04).

OR Education: Four years of education above the high school level obtained in an accredited business, secretarial or technical school, junior college, college or university.

OR Combination of Education and Experience: A combination of education and experience may be used to qualify for this position as long as the computed percentage of the requirements is at least 100%.

To compute the percentage of the requirements, divide your total months of experience by 12. Then divide your semester hours of education beyond two years (total semester hours minus 60) by 60.

Add the two percentages.

Time in Grade Requirement: Applicants who have held a General Schedule (GS) position within the last 52 weeks must have 52 weeks of Federal service at the next lower grade or equivalent (GS-04).

Major Duties:

  • Track financial, personnel, supply, and other administrative transactions.
  • Control mandated training processes, informing supervisors when employees are scheduled, scheduling classes, and handling associated staff actions.
  • Help receive and in-process new employees into the office and out-processes them upon their departure.
  • Prepare a variety of special and recurring reports involving information on status of projects, programs, personnel, financial, tasking, and other action assignments for the service.
  • Summarize and format background material obtained from office files and other sources in order to consolidate and prepare administrative reports.
  • Assist travelers with their travel documentation utilizing the Defense Travel System.
