Job Description

Summary

This job involves helping Iowa educators with getting, renewing, and managing their teaching licenses by handling applications, answering questions, and keeping records organized.

You'll be the main contact for teachers reaching out via phone, email, or in person, while also suggesting ways to make processes smoother.

We are looking to find a highly qualified staff member to serve as an Administrative Support Assistant 3 in the Bureau of Educational Examiners.

This person will provide key support and communication with educators in the state of Iowa regarding their Education Licensure. Desired qualifications include:


Your Responsibilities:


  • Be a key point of contact for Iowa educators seeking license issuance, renewal and extensions.

  • Receives/screens visitors, emails and telephone calls; answers routine questions and routes others to the appropriate staff person for handling.

  • Intake and evaluate license applications. Determine eligibility based on established code and administrative rules and bureau procedures. Issue accurate licenses to the field.

  • Opens/distributes mail; composes standardized responses to routine inquiries.

  • Support division-wide processes, policies and procedures, in collaboration with our teams.

  • Recommend new or improved procedures for standardizing, modernizing and simplifying processes that help to improve outcomes and collaboration between staff.

  • Assist in management of confidential data and information.

Hours: 8:00 a.m. – 4:30 p.m., Monday – Friday

Requirements

140 Data Processing:
6 months experience, 12 semester hours, or a combination of both in information technology. Requires general familiarity working with computers, typically in more administrative types of positions.

AND

162 Data Entry:
6 months experience, 12 semester hours, or a combination of both in the process of entering data into a computerized spreadsheet or database.

AND

768 Word Processing:
6 months experience using standard word processing software to produce final draft correspondence, reports, and other documents without assistance.

Qualifications

Applicants must meet at least one of the following minimum requirements to qualify for positions in this job classification:
  1. Two years of full-time work experience in general office, clerical, data entry/processing, or related work.
  2. A total of two years of education and/or full-time experience (as described in number one), where thirty semester hours of accredited college or university coursework in any field equals one year of full-time experience.
  3. Current, continuous experience in the state executive branch that includes six months of full-time work as an Administrative Support Assistant 2 or eighteen months of full-time work as an Administrative Support Assistant 1.
