This position is located in the Office of External Engagement, reporting to the Senior Vice President of External Engagement.

The Senior Vice President of External Engagement reports directly to the Chairman and President and provides leadership for stakeholder engagement, strategic partnerships, media affairs, marketing and branding, and congressional and intergovernmental relations.

The incumbent serves as an Administrative Specialist in a developmental capacity and is responsible for providing direct operational support and administrative analytical services to the Senior Vice President and other staff within the Office of External Engagement.

Duties include, but are not limited to: Assists with maintaining, reviewing, and improving office processes and workflows by documenting current practices and identifying opportunities for improvement.

Supports the development and updating of standard operating procedures (SOPs) to promote operational efficiency, consistency, and compliance across offices. Works under guidance.

Identifies the need to modify administrative processes and procedures to meet office requirements and assists in gathering, organizing, and analyzing data needed for the organization to implement new or revised requirements.

Supports management by providing relevant information and documentation to facilitate effective decision-making and smooth implementation of changes.

Maintains databases, spreadsheets, and official records to ensure accurate documentation and efficient operations.

Prepares and maintains complex calendars and schedules for the SVP or Chief and subordinate staff, including coordinating internal and external meetings, events, and travel arrangements.

Supports the efficient handling of logistics while maintaining appropriate confidentiality.

Provides liaison and coordination support between office leadership and internal/external stakeholders, ensuring effective communication and smooth workflow across the organization.

Prepares, reviews, and delivers correspondence, reports, and briefing materials with accuracy and clarity to support high-quality decision-making and organizational objectives.

Supports the planning and execution of high-profile meetings, events, and special projects by managing protocol requirements, conducting research and analysis, and providing comprehensive administrative assistance.
