The department delivers a wide range of services and serves as a centralized source for resident assistance to resolve neighborhood concerns.DESCRIPTION OF DUTIES / ESSENTIAL FUNCTIONSThis position requires a candidate who is driven to learn and improve personal and division performance with a strong ability to collaborate with colleagues and partners.

The ability to work with teams to complete tasks and prioritize efforts across multiple projects while taking accountability to ensure deadlines are met is required.

The ideal candidate also takes initiative to create projects directed toward departmental goals, is inquisitive and possesses a solution-oriented, root-cause mindset.

RESPONSIBILITIES:

  • Prepares, edits and revises department/division correspondence; prepares, edits and takes the lead on creating/updating standard operating procedures and manuals.
  • Plans, initiates and implements programs and services to meet the immediate and long-range needs of one or more city departments.
  • Coordinates the planning, research, presentation, promotion and evaluation of special programs (such as grants).
  • Assists the department/division in the effective discharge of responsibilities by furnishing analyses, appraisals, recommendations and information concerning the activities and programs reviewed.
  • Attends meetings involving public and private groups and City officials as a representative of the department/division head and acts as liaison on matters involving other departments.
  • Researches, analyzes and reviews new vendors, equipment, services and regulations.
  • Prepares speeches and/or remarks for the department/division head; assists as needed with news releases and public relations.
  • Participates in special projects as assigned by the department/division head.
  • May coordinate division/department financial operations, including budget planning, integration and oversight, project cost analysis, expenditure control and accounting procedures.
  • May supervise, guide, train or evaluate staff.

WORKING CONDITIONSThe position is physically comfortable; requires stooping or bending.

Occasional lifting, such as three or four reams of paper or books (up to 20 pounds or an equivalent weight) may be required.

There are no major sources of discomfort, i.e., essentially normal office environment with acceptable lighting, temperature and air conditions.

Requirements

EDUCATIONAL REQUIREMENTS
Requires a Bachelor's degree in Business Administration, Liberal Arts, or a closely related field.

EXPERIENCE REQUIREMENTS
Five (5) years of administrative experience are required.


Professional administrative experience may be substituted for the above education requirement on a year-for-year basis.

LICENSE REQUIREMENTS
None

Qualifications

Preference will be given to candidates who have experience with:

  • Leading cross-functional working groups and facilitate improvement workshops.
  • Translating operational needs into clear processes and well-structured SOPs.
  • Working with at-risk student populations and an understanding of best practices addressing and meeting the needs of the population.
  • Have a master's degree in a related field.

**Preference shall also be given to eligible veteran applicants provided such persons possess the qualifications necessary for competent discharge of the duties involved in the position applied for, such persons are among the most qualified candidates for the position, and all other factors in accordance with Executive Order 1-6.**
