Full Job Description

The Loudoun County Health Department is seeking a skilled, independent, and highly motivated individual to join our operations team as an Administrative Assistant. This is a full-time role with core work hours of Monday–Friday, 8:30 a.m. to 5:00 p.m. Step into a role where your administrative expertise supports meaningful work that strengthens our community's health and resilience. Requirements

Under general direction, an incumbent in this class performs complex administrative, customer service, and special program support work for the Health Department, such as:

  • Operates electronic health record systems.
  • Registers new patients and updates existing patient demographics by collecting patient detailed information.
  • Processes client checkout and payments.
  • Schedules and confirms patient appointments, follow-ups, and procedures.
  • Follows standard operating procedures to assure accountability and accuracy of billing and cash handling operations, including insurance verification.
  • Reconciles daily billing, laboratory billing, collections, and deposits.
  • Assist patients with forms and paperwork for the income eligibility process.
  • Supports clients in navigating complex insurance benefits and eligibility.
  • Organizes and maintains office files and patients’ records.
  • Ensures compliance and confidentiality of personally identifiable information and/or client medical information in accordance with HIPAA and applicable privacy regulations.
  • Provides courteous and timely customer service to County staff, vendors, visitors, and the public.
  • Resolves customer problems and concerns independently, including issues involving difficult clients.
  • Ensures efficient and effective use of County equipment and property, in accordance with all applicable policies and procedures.
  • Collaborates with other administrative and healthcare staff on a regular basis.
  • Provides hands-on support for community initiatives and events.
  • Performs other duties as assigned.
The successful candidate will have:
  • Great communication skills; the ability to communicate well both verbally and in writing.
  • Experience working with health records and knowledge of healthcare systems and medical terminology.
  • Understanding of public health, compliance, and patient privacy regulations.
Hiring salary commensurate with experience.

Qualifications

High School diploma or equivalent; three (3) years of related work experience; or equivalent combination of education and experience.

Preferred Qualifications:
  • Associate’s degree or higher in a related field.
  • Three (3) years of clerical/administrative work experience in a healthcare setting, with additional responsibility or expertise in medical billing and coding, data entry, cash handling, insurance verification, and customer service.
  • Knowledge of healthcare systems and medical terminologies.
  • Experience working with electronic health records.
  • English and Spanish language fluency.

Additional Information

  • Must complete pre-employment background which includes criminal, credit, and DMV checks.
  • Must have a valid driver's license and good driving record (driving records may be reviewed annually for continued qualification).
  • Must complete FEMA ICS Certifications 100 and 700 within six (6) months of hire.
