This job involves handling requests for police records, such as those under the Freedom of Information Act, by searching, reviewing, and distributing documents while providing general office support in the Detroit Police Department's Law Unit.
It requires organizing tasks, meeting deadlines, and assisting with legal processes like scheduling depositions.
A good fit would be someone detail-oriented with administrative experience, preferably in legal or public service settings, who can manage multiple priorities in a fast-paced environment.
Under general supervision, the selected candidate will perform the searches, reviews, retrievals, and dissemination of records for the Police Law Unit. The candidate will provide administrative office support including, but not limited to, clerical and related work.
SPECIAL NOTE: This is an at-will appointment, and the candidate serves at the pleasure of the Chief of Police, through the Legal Advisor.
1. Search for and retrieve documents, records, and other tangible items from the Detroit Police Department to respond to Freedom of Information Act requests, claims and discovery requests, and civil subpoenas for police records.
2. Review and process requests in a timely manner.
3. Obtain necessary information from manual and computerized files.
4. Utilize various spreadsheets, databases, and office equipment to process requests.
5. Request records from various DPD commands and follow up, if necessary, to ensure deadlines are met.
6. Review compiled records to ensure they are complete, and they meet the requirements of applicable laws and internal procedures.
7. Maintain accurate notes to identify the status of each request and response.
8. Participate in the mailing of responses, as required.
9. Make independent decisions based on experience, and set daily priorities based on the nature of requests and deadlines.
10. Resolve problems and questions related to requests for information.
11. Assist with the legal representation and indemnification process.
12. Schedule nonparty depositions.
13. Attend relevant meetings.
14. Perform all other duties as assigned.
Education and Training:
Bachelor’s degree in public or business administration, a degree in paralegal studies, a degree in a closely related area of study, or other combination of education and training to warrant equivalent recognition.
Significant work experience along with college-level training, less than an undergraduate degree may be substituted for the college requirement.
Experience:
Five (5) years of increasingly responsible work experience coordinating general business activities and performing administrative duties.
Experience with legal administrative work is preferred.
Knowledge of:
Work methods and procedures of business activities.

Operating practices and procedures in the department indicated by the class title.
