About the Position: Serve as an Administrative Assistant in the areas of personnel, payroll, training, travel, and other administrative functions.

Provide advice and recommendations to leadership on matters related to the coordination and integration of a variety of administrative functions.

Specialized Experience: One year of specialized experience which includes 1) Preparation and submission of a variety of administrative actions utilizing human resource and/or financial management systems; 2) Use of standard office software, such as Microsoft Word, Excel and PowerPoint; 3) Develop and maintain workload tracking tool to ensure that assignments and critical actions and relevant deadlines are met; AND 4) Preparation of formal correspondence and various required administrative documents according to agency published regulations and guidelines.

This definition of specialized experience is typical of work performed at the second lower grade/level position in the federal service (GS-09).

OR Education: Ph.D or equivalent doctoral degree or 3 full years of progressively higher-level graduate education leading to such a degree in a field which demonstrates the knowledge, skills, and abilities necessary to do the work of the position.

OR Combination of Education and Experience: A combination of education and experience may be used to qualify for this position as long as the computed percentage of the requirements is at least 100%.

To compute the percentage of the requirements, divide your total months of experience by 12.

Then divide the total number of completed graduate semester hours (or equivalent) beyond the second year (total graduate semester hours minus 36) by 18. Add the two percentages.

Time in Grade Requirement: Applicants who have held a General Schedule (GS) position within the last 52 weeks must have 52 weeks of Federal service at the next lower grade or equivalent (GS-09).

Major Duties:

  • Plan, manage, and coordinate personnel functions, advising management on personnel policies and policy changes.
  • Act as the liaison between the organization and other staff offices for personnel matters.
  • Serve as the training and travel coordinator, responsible for developing and coordinating the organizational Annual Training Plan.
  • Serve as timekeeper and coordinates with serviced organizations to ensure that time and attendance data have been entered correctly and timely and provides guidance to correct deficiencies as necessary.
  • Provide information and assistance to employees on benefits, pay and policies.
  • Responsible for in/out processing of personnel.
  • Point of contact for the initiation and follow-up of documentation with the Pentagon Medical Clinic for physical examinations for new hires, annual physicals and the medical surveillance program.
  • Serve as the liaison for the Drug Testing Program for the Washington Aqueduct Division
